Legal Assistant, Dispute Resolution

Legislative Services - Legal Services 

Status: Contract Full Time - Up to 12 months

Salary Range: $61,368.00 - $76,710.00 per annum

Hiring Range: $61,368.00 - $69,039.00 per annum

Work mode:Hybrid - A minimum of two days per week on-site is expected, with additional in-person presence as operational needs evolve.

Location: 10 Peel Centre Drive, Brampton 

Hours of work: 35 hours per week

Are you an organized, detail-oriented professional with a passion for the law? In this role you will provide legal administrative and office administrative support to the Deputy Regional Solicitor, Senior Legal Counsel, Legal Counsel, Paralegal, and Law Clerks in the Dispute Resolution Team, and help us maintain our standard of excellence.

 

What You’ll Do:

  • Organize and Maintain Legal Files: Manage a high volume of legal files and documents, including highly sensitive and confidential materials relating to all departments. Ensure systems are well‑organized for easy access, retrieval, and cross-departmental use.
  • Maintain Filing Systems & Legal Resources: Develop, organize, and maintain filing systems, a law reference library, and supporting materials. Prepare legal briefs, gather background information, and ensure resources remain up-to-date.
  • Monitor and Coordinate File Activity: Independently track file progress, maintain follow‑up systems, screen incoming correspondence, and draft responses. Initiate and follow up on action items to support timely communication and workflow.
  • Calendar & Meeting Management: Organize meetings, schedule appointments, and maintain lawyers’ calendars. Prioritize and coordinate activities in a deadline‑driven environment to optimize workflow.
  • Collaborative Relationship Building: Develop and maintain strong internal and external working relationships. Liaise independently with lawyers, clients across the corporation, councillors, outside counsel, and third parties to gather information and respond to inquiries.
  • Document Preparation: Prepare high‑quality correspondence, memos, reports, opinions, briefing notes, agreements, by-laws, and other legal documentation.
  • Purchasing & Document Execution: Manage purchasing processes and document execution procedures. Prepare purchase orders, related documentation, and payments. Provide guidance to others on proper execution protocols.
  • Council Reporting Coordination: Assist in the preparation and coordination of cross‑departmental Council reports and related documentation.
  • Docket & Financial Tracking: Operate docket systems, prepare journal entries, and manage internal charge‑backs effectively.
  • Court & Tribunal Procedures: Serve and file documents with courts and tribunals within prescribed timelines, recognizing and managing critical deadlines.
  • Legal Knowledge & Compliance: Maintain strong knowledge of legal terminology, concepts, case citations, and the Rules of Civil Procedure, Practice Directions, Small Claims Court Rules, Human Rights Tribunal procedures, Labour Relations Board rules, and other relevant legislation. Interpret, apply, and stay current with updates.
  • Information Requests: Respond to information requests via email and phone, ensuring accuracy, professionalism, and timely communication.

What the role requires: 

  • Post-secondary education in legal office administration
  • Minimum of five years relevant experience in a law firm or in-house legal department
  • Familiarity with municipal law and documentation
  • Combination of education and experience may be considered

Skills/Abilities: 

  • Proficient word processing skills, combined with a keen sense of accuracy and attention to detail
  • Strong computer skills, utilizing MS Office to be able to deal with multiple tasks and priorities
  • Excellent communication skills, both written and verbal
  • Demonstrate a commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias
