JOB SUMMARY

Reporting to the Operations Manager, the Operations Coordinator provides hands-on administrative and organizational support to drive the day-to-day effectiveness of the Operations department. By coordinating activities, maintaining operational documentation, and supporting streamlined workflows, this role ensures smooth and efficient operations. The Operations Coordinator partners with internal stakeholders and supports ongoing process improvements

 

RESPONSIBILITIES

  • Ensure accuracy of time sheets daily.
    • This includes all personal and equipment that are recorded in the daily time sheets, under the correct phase of work and file number of each project.
    • Follow up with employees regarding missing or incomplete time sheets and correct errors prior to payroll cutoff.
  • Prepare and compile weekly payroll batch files for hourly staff and deliver them to the Operations Manager according to schedule.
  • Create and post equipment reports for accurate allocation of costs to project files.
  • Scan and upload Job packages and enter them into the Operations folder
  • Cross-reference Geotab logs with time sheets to verify the accuracy of recorded hours and equipment usage.
  • Compile annual driver incentive reports based on Geotab data and driver performance metrics.
  • Greet and assist visitors and manage incoming deliveries at the reception area.
  • Process retail sales, including the preparation of packing slips and invoices.
  • Create purchase orders (POs) for projects as required.
  • Provide coverage for the Operations Manager during vacation or absence.
  • Post daily schedules as required.
  • Perform other duties as assigned by the Operations Manager.

 

QUALIFICATIONS

  • Minimum: High school diploma
  • 1+ year in operations, administrative, coordination, or support role
  • Valid G driver’s license with a clean driving record.
  • Strong communication and people skills with a results-oriented approach, sense of urgency, and effective problem-solving abilities.
  • Organized, flexible and able to adapt to changing business conditions in a fast-paced work environment.
  • Strong computer skills (Microsoft Office Excel) with the ability to learn and maintain skillset with new technology platforms.
