Job Title:  Senior Grant Associate

Job Description/Summary

Managing the financial administration, compliance, and reporting of all grants and restricted funding for PBHG. This position ensures fiscal integrity across a portfolio of public and private funding sources, including federal, state, and county behavioral health contracts, and partners closely with program teams to support sustainable and compliant service delivery.

Responsibilities

  • Oversee the day-to-day financial management of grants related to behavioral health and recovery support services, ensuring adherence to contract requirements and funding guidelines.
  • Maintain systems to track grant budgets, expenses, and report timelines, including cost allocations for clinical programs, case management, prevention, wraparound and other services.
  • Ensure compliance with federal and state regulations, including Uniform Guidance, Medicaid billing reimbursements where applicable.
  • Review all grant agreements and contracts to interpret and implement financial requirements, billing structures, and allowable costs.
  • Provide support and guidance to program directors and other internal stakeholders in drafting and refining sections of RFPs, ensuring coherence, accuracy, and compliance with funder requirements.
  • Manage the full grant submission process, ensuring all components are timely, accurate, and meet strict deadlines.
  • Provide regular budget-to-actual reports, variance analysis, and spending forecasts to ensure proper resource allocation and sustainability.
  • Monitor restricted funds and support strategic use of flexible/unrestricted revenue for program continuity.
  • Prepare timely, accurate financial reports for funders including county behavioral health departments, state agencies, and private foundations if applicable.
  • Support financial components of grant renewals, audits, and regulatory reviews.
  • Establish and maintain strong internal controls and documentation for grant-related transactions, allocations, and reporting.
  • Continuously evaluate and improve systems to manage multiple, complex funding streams efficiently.
  • Ensure finance policies align with the organization’s mission and behavioral healthcare service delivery goals.
  • Serve as a liaison with auditors, funders, and contract monitors on all grant-related financial matters.
  • Other duties as assigned

Competencies

  • Strong knowledge of GAAP, Nonprofit fund accounting, and federal and NJ State grant compliance.
  • Proficiency in accounting and financial reporting software and advanced Excel skills.
  • Strong organizational, analytical, and communication skills.
  • Proficiency in grant management software and Microsoft Office Suite, particularly advanced Excel skills.
  • Ability to work both independently with minimal supervision and collaboratively within a multidisciplinary team.
  • Familiarity with financial management reporting systems preferred.
  • Direct experience working specifically within a behavioral health, mental health, or human services organization is preferred but not required

Qualifications

  • Education: Bachelor’s degree in accounting, Finance, or related field.
  • Licensure: CPA or equivalent experience preferred not required.
  • Experience: Minimum 5-7 years of progressive nonprofit finance experience, including substantial work with non-profit grants in behavioral health or human services; experience working with behavioral health funding sources such as State, SAMHSA, HRSA, Department of Children and Families, Department of Health, Department of Agriculture, Medicaid, county behavioral health departments. Experience in a trauma-informed and/or recovery-oriented service environment preferred.
