PxD is seeking a proactive, highly organized Executive Assistant to join the Operations team and provide dedicated administrative support to senior leadership. This role is perfect for someone who thrives in a fast-paced environment, takes ownership of complex workflows, and operates with discretion and professionalism. As a trusted partner to senior leadership, the Executive Assistant will help ensure smooth day-to-day operations and enable leaders to focus on strategic priorities.



Key Responsibilities

  • Diary and calendar management: Proactively manage an Executive Director’s calendar across multiple time zones, prioritising meetings and ensuring effective use of time.
  • Travel coordination and logistics: Arrange domestic and international travel, including flights, accommodation, visas, and detailed itineraries.
  • Travel tracking and documentation: Maintain accurate travel logs, schedules, and related documentation for internal and compliance purposes.
  • Executive support: Provide day-to-day administrative and coordination support, including preparation for meetings, follow-ups, and light document handling.
  • Liaison and coordination: Act as a point of contact with internal teams, board directors, and external stakeholders, ensuring clear, timely communication.
  • Collaboration with HR Operations: Work closely with and as part of the HR Operations group to ensure alignment across organizational support functions.
  • Other administrative tasks: May be assigned additional administrative support duties as needed.
