Corporate Fleet Manager Assistant 
(Non-union/ Hourly)

Department: Fleet

Reports To: Fleet Manager

Location: Edwardsville, IL 

FLSA Status: Non-Exempt

Pay Range + other compensation components: $18.00-20.00

Benefits: Medical, Dental, Vision, STD, Thrift, Life Insurance  

Shift (if applicable): Weekdays, regular office hours

Position Overview

The Corporate Fleet Manager Assistant shall be responsible for, but not limited to, the following:

Key Responsibilities

  • Bills of sales- Preparing and receiving (distributing copies/check(s) to accounting).
  • Handling Illinois license plates:
    1. IRP license plates (applying for new and renewals)
    2. Trailer plates (applying for new and renewals)
    3. Illinois plates (applying for new and renewals)
    4. Requests for replacement plates
  • Handling titles:
    1. Applying for new titles
    2. Filling out bills of sale
    3. Sending to locations to retitle
    4. Receiving and documenting
  • Handling IFTA licenses and/or stickers.
  • Entering some maintenance into database.
  • Handling vehicle transfers.
  • Assign unit numbers to all company vehicles.
  • Handling toll and driving violations.
  • Send out new company car paperwork.
  • Scanning documents.
  • Adding new/updating all information in the AS400.
  • Handling fleet charges (maintaining spreadsheet, getting past dues paid).
  • Handling Goodyear statements.
  • Handling Michelin statements.
  • Exporting vehicle information from AS400 to excel for reports for locations or in-house.
  • Handling lease buyouts (making changes in AS400, titles, scanning).
  • Answer emails and phone calls with any vehicle questions or needs from locations and/or accounting department.
  • Converting lease packages.
  • Handling recall notices. 

 

Preferred Qualifications 

  • Prior experience with DOT/vehicle registrations

Required Skills/Abilities: 

  • Basic math and reading skills.
  • Proficient in Microsoft Office Suites.
  • Ability to work well with various databases.
  • Ability to have good phone etiquette. 
  • Highly proficient with Excel.
  • Strong computer skills.
  • Strong organizational skills.

  • Ability to work without direct supervision.
  • Excellent verbal communication skills.
  • Excellent leadership, interpersonal, and conflict resolution skills.
  • Coachable and willing to learn.
  • Ability to communicate effectively both verbally and in writing.

Working Conditions

  • (S)he will be required to sit and stand for long periods of time. 
  • Will be required to lift and move large amounts of paperwork (boxes of files). 
  • Will be required to stoop, bend, and reach above the head and below the knees to file and retrieve data.
