Position Type / Expected Hours of Work: 

This is a part-time position that works on average 20 hours a week.  Additional hours may be required.  This position has a standard work week of 10:00am-2:00pm Monday through Friday; schedule may vary based on agency needs at the discretion of the direct supervisor and/or CEO.  

Summary: 

The individual in this position is assigned to a variety of clerical and logistics duties associated with the transportation services provided by Pioneer Resources under contract with various entities/programs within Muskegon, Ottawa, and Allegan counties.  

Essential Functions:

Essential functions of this position include:

  • Answer phones, direct calls, and provide information for consumers and vendors associated with Pioneer Resources transportation services.
  • Record and schedule special requests for transportation and convey accurate information concerning transportation routes, times, rates, and/or changes.
  • Provide phone and/or radio support for drivers and respond to requests for information and assistance.
  • Monitor and assist with the execution and alteration of daily medical transports.
  • Maintain a working knowledge of agency filing systems and perform various filing tasks.
  • Use a variety of office machines as required including telephone, copier, fax, scanner, and others.
  • Perform word processing, data entry, and print tasks using a computer.
  • Use a variety of communications and scheduling software programs, including Microsoft Teams and Outlook.
  • Learn and operate a computerized transit routing system.
  • Create, print, and distribute route attendance/manifest; enter mileage/ridership into computerized transit routing system or spreadsheets; and print reports.
  • Review paperwork/manifests completed by drivers for accuracy and report deficiencies to the supervisor.   
  • Ability to provide mission focused conversations to all stakeholders (such as clinicians, families, drivers, etc.).
  • Strong technology skills for utilizing multiple systems is required.
  • Ability to coordinate multiple tasks simultaneously while staying organized and maintaining efficiency.

Education/Talent Requirements:

  • A high school diploma or equivalent (GED) is required.
  • The ability to read and write in English, and the ability to comprehend written instructions and record information.

Work Experience Requirements: 

  • Two to Five years of experience in transportation, logistics, or a closely related field preferred; will provide internal training for the right candidate.
  • The capacity to work in a team with intermittent supervision.
  • The ability to work respectfully and courteously with a wide variety of individuals.

Travel: 

Must be willing and able to travel up to 10% for meetings, trainings and conferences.   Total travel expected to be less than 10%.  Company vehicle is not supplied; use of personal vehicle required.  

Work Environment: 

This employee usually works in an office environment but may be required to perform job duties outside of the typical office setting.  Moderate noise (i.e. business office with computers, phone, printers, and light foot traffic).  Ability to work in a confined area.  This position works in close proximity to people.  While the majority of working time is spent indoors in a residential environment or office, employees in this position may work outdoors in all seasons for short periods of time, e.g. assisting a resident into a vehicle, taking a resident on an outing, snow removal, etc.

Physical Demands of the Job

Primarily sedentary work: while performing the duties of this job, the employee is regularly required to, stand, walk, sit, talk, hear, and use hands and fingers to operate a computer, telephone, keyboard, etc.  May be required to reach, stoop, or kneel to perform miscellaneous duties.  Occasional light lifting up to 25 lbs may be expected.  The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures, transcribing, viewing a computer terminal, extensive reading, and various visual inspection requirements.
