POSITION SPECIFICS
The Pennsylvania State University, Center for Counseling and Psychological Services (CAPS), located in University Park, is seeking applicants for a Health Services Assistant – Intermediate Support position.
Reporting to the Office Manager at the Center for Counseling and Psychological Services (CAPS), the Health Services Assistant will provide Human Resources, finance, scheduling, and organizational support to the CAPS administrative team. This position will serve as an assistant to the Office Manager of CAPS for the above-related tasks and facilities-related activities coordination. This position will aid the Assistant Director, Training, with coordinating staff and trainee searches, as well as helping with activities related to the training program at CAPS. The Health Services Assistant will also provide support to members of the administrative team related to scheduling coordination, special projects, and office operation tasks. Finally, this position will provide back-up coverage for front office support staff, involving answering phones, contacting and scheduling client appointments, and updating records within the CAPS electronic medical records system.
This role interacts with clients, staff, and external vendors to ensure efficient operations of the office. Candidates should have the ability to provide services to a wide range of students and work with a wide range of staff. The Health Services Assistant is responsible for a variety of administrative tasks.
Maintaining records and data
Monitor and maintain office schedules
Prepare or submit documents and records to external vendors, including insurance companies, for review
Provide staff with messages and information as needed
Attend office meetings and take minutes
Maintain office equipment and ensure the completion of filing, scanning, shredding, faxing, and copying as requested
Assist office staff with various processes and procedures; recommend changes as needed
Skills required in this position include:
Being highly organized, with excellent attention to detail and the ability to follow through
Flexibly transition from one task to another, with an ability to easily pick up where one left off on a previous task
Receiving and utilizing feedback well
A strong working knowledge of Microsoft Office 365 software
A working knowledge of SAP Concur, Workday, PSUbuy, Titanium software, and 25Live is preferred.
MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS
General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS
The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
