Position Summary: 

Opportunity to work remotely or in-person! Join our growing team as a Scheduling Coordinator and play a key role in delivering exceptional client service. As the primary point of contact for scheduling needs, you'll work closely with our scheduling supervisor, office support and care coordinator teams to ensure smooth appointment coordination. With strong communication skills, attention to detail, and critical thinking abilities, you'll excel in managing client appointments and meeting established deadlines. Essential Duties:

  • Model appropriate behavior conducive to a positive working and therapeutic environment.
  • Observe all rules of confidentiality as they pertain to program participants both internally and in working with outside individuals and/or agencies.
  • Proactively initiate and follow-through with tasks utilizing appropriate problem-solving techniques to facilitate communication flow and prompt resolutions.
  • Create, maintain, and adjust client-related service appointments.
  • Create, maintain, and adjust provider calendars within approved parameters.
  • Seek positive solutions and engage in active problem solving for determining and balancing the scheduling priorities related to clients’ needs with provider recommendations and preferences.
  • Identify and communicate need for scheduling modifications and development.
  • Notify appropriate individuals of scheduling changes for client related service appointments in a timely and professional manner.
  • Receive and respond to client and staff scheduling requests, involving respective members of leadership as needed.
  • Monitor, evaluate, and communicate scheduling key performance indicators to proactively address and improve scheduling processes (reduce cancelations, increase billable productivity, lean processes, audit, etc.).
  • A thorough understanding of scheduling software and proficiency in Microsoft Excel are essential. Additionally, strong critical thinking skills are required to effectively address technical challenges related to computer systems and software.


As Needed Duties

  • Serve as back up to the Office Support Team for clerical and administrative tasks as directed by the Scheduling Supervisor.
  • Attend staff meetings, orientations, and in-service training as assigned.
  • Provide scheduling reports to leadership.
  • Other duties as assigned by the Scheduling Supervisor.


Requirements:

  • Ability to work onsite for 3–6 weeks for initial training and onboarding.
  • High School diploma, GED, or equivalent

  • One-year related experience and/or training


Physical Requirements: While performing the duties of this job, the employee is regularly required to talk and hear. The employee is occasionally required to stand, walk, sit, use hands to finger, handle or feel, reach with hands and arms, climb or balance, stoop kneel or crawl, and taste or smell. The employee may occasionally lift and/or move up to 40 lbs. Specific vision abilities required for this position include close vision, distance, peripheral vision, depth perception, and ability to adjust focus.
