Position Summary:

Origami is looking to hire an in-person full-time (40 hours per week, Monday - Friday), Office Supervisor.  

 
Join the Origami team as the Office Supervisor, where you'll play a pivotal role in supporting daily office operations under the guidance of the Business Office Manager. As the Office Supervisor, you'll oversee the office support staff, manage financial reconciliation, coordinate business systems, and maintain a welcoming environment. Essential Duties:  

  • Model appropriate behavior and professional relationships conducive to a positive working and therapeutic environment.  
  • Observe all rules of confidentiality as they pertain to program participants both internally and in working with outside individuals and/or agencies.  
  • Proactively initiate and follow-through with tasks utilizing appropriate problem-solving techniques to facilitate communication flow and prompt resolutions.  
  • Maintain effective professional and therapeutic relations with clients, their families, and referring parties.  
  • Assume responsibility for knowledge and implementation of policies and procedures.  

  

Office Support Responsibilities:  

  • Maintain a safe and organized work area with all confidential documents always secured.  
  • Management of Origami clinics front desk protocols, opening/closing procedures, emergency procedures, and scheduling direct reports ensuring adequate coverage per organization’s needs.  
  • Lead continuous process improvements to maintain efficiency including establishing standardized methods of office support workflows.  
  • Review and serve as first approver for all accounts payable weekly and submit to Director of Operations for final approval.  
  • Daily Revenue Cycle Management Responsibilities:  
  • Obtain insurance explanation of benefits, credit card transactions, and payment receipts for all operating account credits and file according to standards.  
  • Daily reconciling responsibilities. 
  • Payment posting in collaboration with Revenue Cycle Management team.   
  • Accurate financial posting to accounting system.  
  • Monthly Reconciling Responsibilities:  
  • Reconcile and approve cash accounts at month end.  
  • Facilitate monthly cash deposits and cashing of petty checks at bank.   
  • Complete monthly revenue and expense posting to accounting system. 
  • Ensure adherence to established internal controls for all business and accounting systems.   

  

Leadership Responsibilities: 

  • In collaboration with Business Office Manager, interview, hire, and orient staff under the supervision of the Office Supervisor.  
  • Maintain and update job descriptions and personnel files for all direct reports.  
  • Conduct timely and quality-based performance reviews according to established policies and procedures for direct reports.  
  • Evaluate, oversee, and provide progressive training and opportunities for growth and development of direct reports.  
  • Lead office support and other relevant team meetings with agenda and meeting minutes following organizational standards.   
  • Contribute to updates ensuring accuracy of standard operating procedures, working protocols, and manuals, sharing updates with necessary individuals after approval from senior leadership.   

  

As Needed:  

  • Serve as back up to direct report positions.  
  • Attend staff meetings, leadership meetings, orientations, in-service training, as assigned.    
  • Other duties as assigned by the Business Office Manager.  

 

Requirements:  

  • High School Diploma, GED, or equivalent related experience and/or training 
  • Access to reliable transportation to work at multiple worksite locations in Michigan
  • Supervisor experience or demonstrated strong leadership skills 
  • Origami training curriculum (provided by Origami post-hire)

Preferences: 

  • Associate or bachelor's degree 
  • Medical office experience 
  • Accounting experience 
  • Accounts payable, receivable, and reconciliation experience  

 

 

Physical Requirements:  

While performing the duties of this job, the employee is regularly required to talk and hear. The employee is often required to stand, walk, sit, use hands to palpate, handle or feel, reach with hands and arms, climb or balance, and stoop kneel or crawl. Accommodated alternatives are acceptable if they accomplish the necessary essential tasks. The employee may occasionally lift and/or move up to 40 lbs. Specific vision abilities required for this position include close vision, distance, peripheral vision, depth perception, and ability to adjust focus. The employee is frequently required to assist in transfers, gait, and mobility training.
