About The Job

· Executing all tasks assigned by the Trade Marketing Head

· Supporting the Trade Marketing team.

· Coordinating between the Trade Marketing team & other departments to support & facilitate their relevant requests.

KEY RESPONSIBILITIES / ACCOUNTABILITIES

1- Manage the administration part of the Trade Marketing Head:

· Handling correspondences (in/out faxes, e-mails, …. etc.)

· Developing & following up the filing system of the office.

· Handling phone calls.

· Event management for all Trade Marketing events, PRs, travel arrangements…etc.

· Following up all OTPs, PRs, Repair orders, expense sheets, traveling advance, courier…etc.

· Following up due dates

· Arranging appointments & daily agenda of the Trade Marketing Head.

· Take minutes of meetings.

· Ordering the required stationary items to keep available stock for the office needs.

· Preparing presentations upon request.

. Covering other assistants’ roles when they are out of the office.

. process clients forms and checks process mail and incoming correspondence maintain various files, logs and tracking systems in accordance with Client regulations.

2- Prepare monthly reports/ meeting deadlines

. Schedules, prioritizes and follows up on meetings and appointments.

· Monthly reports

· Make sure that Monthly Trade Marketing IMS report to be sent to the Trade Marketing Head.

· Providing line managers with group meetings analysis

3- Participate in the Business Plan preparations

· Adjusting the Business Plan template presentation

· Finalizing the plan for the Management meeting

. Supports Department lease administration which includes document tracking.

4- Events management:

· Initiating and finalizing all E-BUY and MY-COMET requests (Staff / group/expert meetings &

Standalones) with a clear following up on approval cycle.

 · Handling all visits logistics from bookings, reservations, and communicate with the relevant stakeholders to take the necessary action for applying safety standards. Others · Respect of company’s values, code of ethics and social charter. · Respect of personal data protection charter. · Responsible for applying the HSE related requirements for the company in all related working procedures. · Perform other duties as assigned.

Health, Safety and Environment Responsibilities

· Comply with company procedures and current regulations on hygiene and safety.

· Properly use the work equipment, dangerous substances, and preparations as well as the supplied

collective and personal protective equipment according to the instructions received.

· Promote and follow the HSE rules and ‘Act responsibly’ to protect yourself and others from an injury and

ill health conditions while at the work locations and/or while using road e.g., traffic rules, emergency, evacuation procedure, medical surveillance, healthy lifestyle etc.

· Engage the HSE department in the related activities (where applicable) and be sure that the work performed follows the local HSE regulations, Corporate HSE Policy and key requirements.

· Attend HSE training.

· Promptly report to your superior any dangerous conditions of which you become aware

About You

Education:

University Graduate of Business Administration or Equivalent.

Experience:

· Minimum 3 years of experience in relevant role

· Fully conversant with Microsoft Office applications.

Skills /Competencies:

· Communication skills

· Planning and Ability to meet deadlines

· Sense of urgency and prioritization

· Sense of confidentiality

· Organizational skills · Speed typing · Time Management skills

 . Languages: English and Arabic full proficiency
