Job Description:

The Patient Services Coordinator provides cross-functional support to the Patient Registration, Care Coordination, and Health Information Management teams as assigned. General responsibilities include providing excellent customer service, managing the reception and registration of patients at the front desk, collecting patient payments, facilitating a calm and safe environment, promoting positive patient and visitor experience, scheduling patients for internal and external appointments, and processing patient health information.

ESSENTIAL FUNCTIONS:

  • Promptly answers telephone calls and greets patients in a courteous, efficient manner. Routes calls and messages to appropriate employee or department.

  • Documents patient information in appropriate clinical and business applications with accuracy.

  • Collects patient payments; ensures accurate cash counts, credit card transactions, patient receipts, and documentation on deposit slips and payment logs.

  • Collaborates effectively with team members to coordinate internal and external patient care activities.

  • Promotes the safety of facility occupants, adhering to visitor registration procedure, performing routine disinfection procedure of high-contact surfaces, and promptly reporting incidents and unsafe conditions.

  • Facilitates the comfort of lobby occupants, fostering a calm environment and ensuring availability of beverages, snacks, and appropriate reading materials.

  • Schedules internal and external patient appointments as ordered or requested by the provider.

  • Contacts patients to remind, confirm, and reschedule upcoming appointments.

  • Processes incoming and outbound patient health records.

  • Demonstrates excellent customer service, responding promptly to patient and team member requests.

  • Promotes positive patient experience, encouraging patients and involved caregivers to participate in patient satisfaction surveys.

  • Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.

  • Opens and distributes mail if necessary.

  • Functions as a preceptor to newly hired staff.

  • Adheres to all Tennessee Oncology policies and procedures.

  • Performs other duties as assigned.

REQUIRED QUALIFICATIONS:

  • High school diploma or GED

  • Proficient use of computer technology

  • Professional appearance and communication

  • 5 years of medical office or transferrable experience

PREFERRED QUALIFICATIONS:

  • Tertiary degree or diploma in a related area of study

Oncology research is the largest area of new drug development. Self -administered medications, those taken by mouth or injected by the patient, comprise approximately 40% of these investigative medications. Tennessee Oncology’s in house pharmacy, Park Pharmacy, stocks oncology and hematology medications not readily available at community retail pharmacies. A URAC accredited Specialty Pharmacy, Park provides insurance and benefits investigation, prior authorization services for insurance coverage, co-pay assistance through manufacturer or foundation programs, extensive medication education, and access to a pharmacist 24 hours a day, 7 days a week.
