Job Description:

Office Lead

Location: Newburgh, NY

Job Summary

The Office lead is responsible to assist in the day-to-day operations and support the Practice Administrator by supporting the physicians, clinical and administrative staff to achieve operational goals. This role involves supervising staff, optimizing workflows, maintaining regulatory compliance, and enhancing patient satisfaction. Serving as a key liaison between physicians, staff, and external stakeholders, the Office Lead will assist in the overall success of the practice by supporting the Practice Administrator to maintain overall operational efficiency and quality of care outcomes. 

Key Responsibilities

Daily Operations Oversight:
Manage and coordinate the day-to-day administrative and operational activities of the practice to ensure seamless workflow and high-quality patient care.

Compliance & Risk Management:
Ensure strict adherence to healthcare regulations—including HIPAA, OSHA, and other relevant industry standards—and proactively manage risks to protect patients, staff, and the organization.

Interdepartmental Coordination:
Facilitate effective communication and daily office huddles to enhance collaboration among clinical, administrative, and leadership teams and to align on operational goals/maintain a unified practice environment.

Staff Management & Leadership

Team Development & Culture:
Assist in oversight of administrative and clinical staff while fostering a positive work culture that encourages continuous learning and professional development.

Performance Management & Scheduling:
Conduct regular performance evaluations, set clear objectives, and provide targeted coaching to maximize team productivity. Oversee scheduling to ensure optimal alignment of staffing with patient care needs.

Communication & Collaboration:
Act as the central liaison between clinical and administrative teams, facilitating robust communication and collaboration to ensure seamless operations and aligned objectives.

Patient Experience & Satisfaction

Strategic Patient Initiatives:
Implement comprehensive strategies to enhance overall patient satisfaction and experience.

Service Recovery:
Manage patient complaints proactively by establishing and executing effective service recovery protocols to resolve issues promptly.

Welcoming Environment:
Ensure a friendly, efficient, and supportive front office environment that contributes to a positive patient experience.

Other duties may be assigned as needed or required.

What we offer:

Salary: 65,000 annually based on experience and education

Self -administered medications, those taken by mouth or injected by the patient, comprise approximately 40% of these investigative medications. Tennessee Oncology’s in house pharmacy, Park Pharmacy, stocks oncology and hematology medications not readily available at community retail pharmacies. A URAC accredited Specialty Pharmacy, Park provides insurance and benefits investigation, prior authorization services for insurance coverage, co-pay assistance through manufacturer or foundation programs, extensive medication education, and access to a pharmacist 24 hours a day, 7 days a week.
