Duties And Responsibilities

Purpose

The Shutdown Coordinator is responsible for planning, coordinating, and executing large-scale Oil & Gas industry shutdowns and turnarounds. This role ensures scope management, resource planning, and compliance with safety and quality standards throughout all phases of shutdown activities. The position requires strong technical knowledge, leadership skills, and proficiency in modern planning tools.

Functions

ESSENTIAL

  • Manage end-to-end scope for shutdowns/turnarounds in Oil & Gas facilities.
  • Develop and monitor schedules using Primavera P6, MS Project, and other planning tools.
  • Prepare work packages, material reservations, and resource plans.
  • Lead planning phases: Concept, Definition, Detailed Planning, Pre-shutdown, Execution, and Post-shutdown.
  • Coordinate logistics, temporary facilities, and site services for shutdown activities.
  • Conduct job clash analysis, scaffolding, insulation, and painting estimations.
  • Prepare safety documentation, including JSA and hazard mitigation plans.
  • Supervise execution activities, monitor progress, and resolve technical challenges.
  • Ensure compliance with API, ASME, ISO standards and company HSE policies.
  • Liaise with internal teams and contractors for seamless execution.

NON-ESSENTIAL  

  • The list of job duties is not exclusive or exhaustive and the post holder will be required to undertake tasks that may reasonably be expected within the scope of the post.
  • Assist with any other duties as and when required.  
  • Undertake specific projects as instructed by management.

Safety

Ensure that the Safety policies and procedures are understood and adhered to so far as is reasonably practicable to ensure a safe working environment.

Actively participate in safety meetings and toolbox talks as required by company and client.

Ensure that all Safety procedures are always adhered to and that required documentation is kept updated.

Other

Carry out work in accordance with the Company Health, Safety, Environmental and Quality Systems.

Perform the assigned tasks with due diligence regarding the Integrated Management Systems on the Company.

Eliminate waste of whatever form, to suggest the use of more environmentally friendly substances and practices and contribute to the continuous improvement of the environment.

Supervisory Responsibilities

  • This position has direct supervisory responsibilities. 

Qualifications

REQUIRED

  • Diploma in Mechanical, Electrical, or Instrumentation Engineering
  • 5 years or more of experience in shutdown planning and execution, with at least 2 years in a senior supervisory role.
  • Experience in planning software (Primavera P6, MS Project) and MS Office applications.
  • Strong knowledge of engineering codes and standards (API, ASME).
  • Excellent command of English and strong report writing skills.
  • Ability to work under pressure and manage multiple shutdowns simultaneously.

DESIRED

  • Familiarity with ISO Quality Management System.
  • Strong leadership and communication skills.
  • Experience in heavy equipment erection and constructability reviews.    

Knowledge, Skills, Abilities, and Other Characteristics

  • Fluent in reading and writing English. (E)
  • High School Diploma or the equivalent, Minimum grade 12 certification (E)
  • Minimum 5 years in the field of plant and equipment inspection. (E) 
  • "Hands on" turnaround and shutdown experience  
  • Experience which covers planning, MS Project, Primavera P6, Inspection storage databases/systems, inspection work packs/scopes and dealing with anomalies. (D) 
  • Knowledge of legislation, codes/standards, materials, plant operations & processes, damage mechanisms, coatings, and NDT techniques (both conventional & specialist). (E)  
  • Construction & fabrication inspection experience. (E)
  • Must be able to demonstrate working knowledge of design, manufacture, metallurgy, welding, codes, standards, risk assessments and legislation associated with the in-service inspection of plant and equipment (E)
  • Must be familiar with QA/QC systems/procedures and NDT techniques (E)
  • Working knowledge of Microsoft office suits. (E)
  • Ability to manage or coordinate NDT techs or Third parties (E)
  • Good client or support contractor relationship skills at various levels of seniority or diverse cultures (E)
  • Good communicator both written and verbal (E)
  • Previous experience of coaching, mentoring, and carrying out competency assessments (P)
