
Description
The Administrative Assistant provides high-level administrative, clerical, and operational support to the Executive Team and Senior Leadership within a Federally Qualified Health Center (FQHC). This role is critical to ensuring smooth daily operations, effective communication, and organizational efficiency while supporting the mission of providing high-quality, patient-centered care to underserved communities.
Job Responsibilities:
· Provide administrative support to Executive Leadership, including calendar management, meeting coordination, and preparation of agendas and materials
· Maintain confidentiality and handle sensitive information in accordance with HIPAA and organizational policies
· Coordinate logistics for leadership meetings, board meetings, trainings, and special events, travel
· Track action items, follow-ups, and deadlines; ensure timely completion and communication
· Provides support for incoming and out-going mail
· Maintain organized electronic and physical filing systems
· Support data entry, report preparation, and basic tracking for operational, HR, or compliance needs
· Assist with preparation and organization of documents for audits, site visits, and HRSA requirements
· Serve as a point of contact between leadership, clinic sites, and external partners
· Answer and route phone calls, emails, and inquiries professionally and efficiently
· Support cross-departmental collaboration and information flow
