This role is designed to relieve Project Managers of day‑to‑day administrative and coordination tasks so they can focus on strategy, client relationships, scope, and financial oversight.</p> <p>The Project Coordinator is detail‑oriented, proactive, and highly organized, with the ability to manage multiple workflows at once while maintaining clear communication across internal teams, vendors, and onsite crews.</p> <p>This is a hands‑on role embedded deeply in the production process — from early planning through fabrication, install, and close‑out.</p> <p><strong><span style="text-decoration: underline;">Responsibilities:</span></strong></p> <h4><strong>Project Administration &amp; Organization</strong></h4> <ul> <li>Create, manage, and maintain all project documentation and file structures (Box, shared drives, project folders).</li> <li>Prepare and distribute production packets containing drawings, schedules, fabrication details, print grids, and site information.</li> <li>Track and update project data including schedules, work-back plans, labor tracking, and key milestones.</li> <li>Take meeting notes and distribute action items following internal and external meetings.</li> </ul> <h4><strong>Scheduling &amp; Coordination</strong></h4> <ul> <li>Build and maintain detailed work-back schedules in coordination with Project Managers and shop leadership.</li> <li>Create, update, and manage fabrication, print, and install grids.</li> <li>Coordinate internal deadlines between project management, design, fabrication, print, and scenic teams.</li> <li>Schedule travel, lodging, and transportation for onsite project teams as required.</li> </ul> <h4><strong>Production &amp; Operations Support</strong></h4> <ul> <li>Support Project Managers during fabrication and production phases by tracking deliverables, dependencies, and approvals.</li> <li>Assist with vendor coordination, including outreach, documentation collection, and scheduling support.</li> <li>Monitor project progress and flag potential schedule or resource conflicts early.</li> <li>Support onsite installs as needed, including pre-production preparation and field coordination.</li> </ul> <h4><strong>Communication &amp; Team Support</strong></h4> <ul> <li>Serve as a central point of communication between Project Managers, internal teams, and external partners.</li> <li>Translate project information into clear, actionable details for shop and field teams.</li> <li>Maintain a high level of professionalism and responsiveness in all internal and external communications.</li> </ul> <p><strong><u>Requirements:</u></strong></p> <ul> <li>Strong organizational skills with exceptional attention to detail.</li> <li>Ability to manage multiple projects and priorities simultaneously in a fast paced environment.</li> <li>Excellent written and verbal communication skills.</li> <li>Solid working knowledge of Microsoft Office and cloud based file systems.</li> <li>Strong problem solving and analytical abilities.</li> <li>Ability to understand and communicate custom fabrication terminology and workflows.</li> <li>Team oriented mindset with a service driven approach.</li> <li>Experience in custom fabrication, scenic production, events, or experiential marketing preferred.</li> <li>Time Management: Effectively balances competing priorities and deadlines.</li> <li>Execution Focus: Proactively follows tasks through to completion.</li> <li>Adaptability: Comfortable working in dynamic shop, office, and onsite environments.</li> <li>Communication: Clear, concise, and respectful across all levels of the organization.</li> </ul> <p><strong><u>Work Environment:</u></strong></p> <ul> <li>Some areas of the job site may be hazardous so protective gear should be worn when appropriate</li> <li>Shift may vary from day to evenings.</li> <li>Weekend hours will be required.</li> <li>Standard 40-hour workweek applies, though overtime may be necessary.</li> </ul> <p><strong><u>Location:</u>&nbsp;</strong>The Treehouse warehouse is located in Los Angeles and this employee must report onsite 5-days a week.</p> <p><span style="text-decoration: underline;"><strong>Diversity, Equity, Inclusion and Belonging</strong></span><strong>:</strong>&nbsp;</p> <p>At Treehouse, we are led by curiosity and fueled by humanity. Treehouse intends to provide a competitive total compensation package which includes a variety of incentives, benefits, growth and developmental opportunities. There are many factors to the presented hourly range, including but not limited to - location, departmental budgets, certifications, and overall job-related qualifications.</p>
