The Staff Accountant plays a central role in managing project-based financial activity, with a strong emphasis on accurate billing, revenue recognition, and project cost tracking. This role ensures that project financials are processed accurately, deadlines are met, and internal and external stakeholders receive timely, reliable information.

 

Work Environment:

  • Location:  NV5 Regional Office - Sun Prairie, WI
  • Travel < 20% of the time

Responsibilities

Project Accounting & Billing

  • Prepare, review, and distribute project-based customer billings in accordance with contract terms
  • Monitor project budgets, costs, and financial performance
  • Maintain project accounting records, including job setup, cost allocations, and revenue tracking
  • Coordinate with project managers to validate billing milestones, change orders, and cost adjustments
  • Reconcile project accounts and resolve discrepancies proactively
  • Support project audits, compliance reviews, and financial reporting requirements

General Accounting & Finance Support

  • Process Accounts Payable and maintain the purchase order system
  • Process employee expense reports
  • Assist with employee timesheet processing and labor cost allocations
  • Prepare journal entries
  • Submit contractor reporting and registrations
  • Process state and local business registrations
  • Provide audit, tax, and compliance support
  • Maintain and respond to general finance email inquiries
  • Distribute incoming mail, including AP and AR documents
  • Perform other duties as assigned

Qualifications

Competencies & Skills:

  • Strong understanding of project accounting principles
  • Excellent organizational and time-management abilities
  • Clear and professional communication skills
  • High attention to detail with accurate data-entry capabilities
  • Ability to manage multiple deadlines across concurrent projects
  • Advanced proficiency with accounting software and Excel
  • Strong analytical and problem-solving skills

Requirements:

  • Bachelor’s degree in Accounting, Finance, or related field*
  • Minimum of 2 years of experience in an accounting environment, preferably with project accounting exposure**
