The Executive Assistant I (EA I) provides high-quality administrative, coordination, and light project support to Vice Presidents and Senior Vice Presidents. This role is ideal for an experienced EA who is confident in core executive support responsibilities and ready to operate as a reliable partner to senior leaders—without the scope or travel requirements of a senior executive assistant role.
The EA I is organized, proactive, and detail-oriented, with the ability to manage competing priorities, support small projects, and contribute to operational efficiency in a fast-paced environment.
Manage and coordinate calendars for VP and SVP leaders, including scheduling, prioritization, and meeting logistics
Partner with leaders to ensure time is used effectively and scheduling conflicts are proactively addressed
Prepare meeting materials such as agendas, notes, presentations, and pre-reads
Draft professional emails, follow-ups, and internal communications as requested
Track action items, deadlines, and follow-ups to ensure commitments remain on track
Handle sensitive and confidential information with discretion and professionalism
Support small projects such as team initiatives, process improvements, reporting coordination, or event planning
Assist with tracking project milestones, deliverables, and timelines
Coordinate cross-functional inputs and ensure information is organized and communicated clearly
Maintain organized digital files, documents, and shared resources
Support expense reporting, invoice processing, and administrative tracking
Coordinate internal meetings, leadership sessions, and department events
Serve as a point of contact between VP/SVP leaders and internal teams for administrative needs
Assist with onboarding logistics or team coordination as needed
Assist with booking occasional domestic travel (limited frequency)
Provide logistical support for meetings or events as needed (travel is not a primary function)
2–5 years of experience supporting senior leaders (Director, VP, or SVP level)
Strong organizational and time-management skills with exceptional attention to detail
Excellent written and verbal communication skills
Ability to manage multiple priorities in a dynamic, fast-paced environment
High degree of professionalism, discretion, and emotional intelligence
Proficiency in Google Workspace, Slack, and modern productivity tools
Experience supporting projects or initiatives beyond traditional admin work is a plus
