WHAT YOU’LL BE RESPONSIBLE FOR IN THIS ROLE

The Accounting Systems Implementation Project Manager role will lead the end-to-end re-implementation of the InteliChief Enterprise Content Management (ECM) and workflow automation platform. This position is responsible for ensuring the project is delivered on time, within scope, and aligned with business and accounting operational requirements. The role partners closely with the Assistant Controller, Controller, Accounts Payable, IT and external InteliChief consultants to support a smooth rollout, drive user adoption, and enable effective business process transformation. 

Responsibilities include overseeing system developments, coordinating cross-functional teams, managing project timelines, mitigating risks, and serving as the primary liaison with vendors throughout the implementation lifecycle. The role also develops project plans, allocates resources, ensures quality standards, and maintains clear, consistent communication with stakeholders.

Project Planning & Execution

  • Develop and maintain detailed project plans, including timelines, deliverables, dependencies, and resource allocation. 
  • Understand project scope, objectives, and success criteria and assure alignment with business needs.
  • Coordinate project activities, ensuring milestones are met and issues are escalated promptly.

Vendor & Stakeholder Management

  • Act as a liaison between the organization and InteliChief implementation teams, ensuring clear communication and alignment. Assure the Assistant Controller is aware and included with all communications.
  • Collaborate with Accounting, AP, IT, and external partners to gather requirements and resolve implementation challenges.
  • Lead and facilitate expectations of internal and external stakeholders and communicate progress updates regularly.

System Configuration & Deployment Support

  • Support configuration efforts related to document capture, workflow design, approval routing, and ERP integrations- with the support of IS department.
  • Review and validate technical deliverables to ensure alignment with documented requirements and organizational standards. 
  • Conduct quality assurance checks to ensure system functionality meets expectations and business needs. 

Risk Management & Issue Resolution

  • Identify project risks and proactively recommend mitigation strategies to prevent delays or disruptions with Assistant Controller.
  • Troubleshoot issues during testing, configuration, or deployment phases and coordinate resolutions with IT, AP and InteliChief technical teams.

Training, Documentation & Change Management

  • Coordinate and support user training sessions, ensuring business teams understand new workflows and system functions. 
  • Create process documentation, user guides, and standard operating procedures for new workflows.
  • Facilitate smooth adoption of the new system by guiding teams through process changes. 

Post Implementation Support

  • Lead the transition to ongoing operational support.
  • Conduct post implementation reviews and support optimization efforts and enhancements.
  • Work with XELIX team to aid in the integration of InteliChief.

WHAT WE’RE LOOKING FOR

Required Skills and Abilities:

  • Strong organizational and time management skills
  • Excellent attention to detail and ability to analyze complex financial data
  • Ability to diagnose business problems and recommend solutions 
  • Excellent written and oral communication skills
  • Ability to work independently and manage multiple priorities in a fast-paced environment

Minimum Qualifications:

  • Bachelor’s degree in business, Information Systems, Accounting, or related field.
  • 3–7 years of experience in project base positions, preferably in JDE ERP system, or workflow automation implementations.
  • Strong understanding of accounting workflows (AP, Purchasing approvals, etc.).
  • Proven ability to prioritize effectively and maintain organized documentation and communication. 
  • Excellent communication skills.
  • Familiarity with document/workflow automation tools.

Preferred Qualifications:

  • Experience with InteliChief or similar platforms (OnBase, DocuWare, Laserfiche, etc.).
  • Understanding of ERP integrations (e.g., JD Edwards).
  • Ability to work independently in fast‑paced environments.
  • Strong analytical and problem‑solving abilities.

Physical Demands:

  • Work is performed primarily in a standard office environment with frequent interruptions.
  • Ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, climb, kneel, crouch, reach, and twist.
  • Lift, carry, push, and/or pull light to moderate amounts of weight up to 30 lbs.
  • Operate office equipment requires repetitive hand movement and fine coordination including use of a computer keyboard.
  • Ability to stand for long periods of time in an upright position walking on both even and uneven surfaces
  • Ability to stoop, crouch, and kneel on a regular basis

Hours & Workdays:

  • 8:00 AM-5:00 PM Monday through Friday onsite, when business requires before/after hours will be mandatory
