The Opportunity

We are seeking a dynamic and highly motivated individual to fill the combined role of Executive Assistant to our Chief Executive Officer (CEO), Chief Operating Officer (COO) and Chief Strategy Officer (CSO) in our Culver City office. The primary executive supported in this role will be the CEO, with additional support provided to the COO, CSO, and broader senior leadership as needed. This is a high-trust, high-impact role requiring sound judgment, strong business acumen, and exceptional attention to detail. You’ll act as a critical extension of senior leadership - strategically managing time, anticipating needs, and ensuring focus remains on what matters most.

Your Impact

  • Act as a trusted right hand to 3 - 4 senior executives, ensuring calendars, travel, and communications are managed seamlessly and aligned to business priorities.
  • Own complex, multi-time-zone calendar management, proactively anticipating preferences, context switching, and shifting priorities for each executive.
  • Strategically structure time to enable deep work, effective decision-making, internal alignment, and external relationship-building.
  • Manage end-to-end travel coordination - flights, accommodation, ground transport, and itineraries - with strong attention to individual preferences and trip objectives.
  • Prepare, submit, and reconcile expense reports (T&E) accurately and efficiently.
  • Track action items, commitments, and priorities across executives, proactively managing follow-ups, balancing competing demands, and ensuring work is delivered accurately and on time.
  • Draft, proofread, and manage written communications on behalf of executives, maintaining a consistent and professional voice.
  • Own meeting hygiene for key forums: agendas, pre-reads, note capture, decisions and owners, and post-meeting follow-through.
  • Partner with executives to clarify desired outcomes for meetings and ensure the right stakeholders and materials are in place.
  • Handle sensitive and confidential information with discretion, integrity, and sound judgement.
  • Step in as needed during peak periods or urgent situations, including occasional support outside standard business hours.
  • Support executive preparation for events such as leadership meetings, client engagements, panels, and conferences.
  • Coordinate communications for the CEO, COO, and CSO, including phone calls and internal and external correspondence.
  • Lead in-person planning and logistics for leadership meetings and office events, including venue coordination, catering, and on-site execution.

Who We're Looking For

  • Experience – 2 - 5 years of experience as an Executive Assistant supporting senior leaders, ideally in a fast-paced and/or remote environment in the entertainment industry.
  • Education – BA/BS degree in Business Administration, Communications, or a related field.
  • High ownership mindset – You take full responsibility for outcomes, not just tasks. You proactively manage priorities, follow through without prompting, and consistently raise standards.
  • Strategic thinker – You understand the business context behind calendars, travel, and time allocation, and know how to structure an executive’s day to support decision-making, focus, and engagement.
  • Proactive and solutions-oriented – You anticipate needs before they arise, resolve issues independently, and stay several steps ahead.
  • Discretion and trust – You are reliable, tactful, and handle confidential information with maturity, integrity, and sound judgement.
  • Exceptional communication skills – You communicate clearly, concisely, and professionally in both written and verbal interactions.
  • Calendar, travel, and expense management expertise – You are highly skilled at managing complex calendars, coordinating international travel, and processing T&E accurately and efficiently.
  • Strong attention to detail – You spot inconsistencies, catch errors early, and ensure nothing falls through the cracks.
  • Tech savvy – Highly proficient with Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams), Zoom, and tools such as Google Workspace.
  • Strong work ethic – Dependable and committed, with the flexibility to support outside standard hours during peak periods or urgent situations.
  • Effective multitasker – Able to manage competing priorities while maintaining quality, accuracy, and deadlines.
  • Self-starter – Internally motivated, resilient, and comfortable operating with autonomy and ambiguity.
  • Collaborative team player – You build strong relationships, communicate respectfully, and work effectively across time zones and cultures.

Position Type

This is a full-time, exempt position.  This is a primarily remote role for a Los Angeles area-based employee. However, in-person attendance at our Culver City office is required for leadership meetings, company events, and when the CEO or senior leadership are working or travelling in Los Angeles.  Flexibility and availability for in-person support are a core expectation of this role.

Compensation

In order to comply with equal pay and salary transparency laws in various locations, we believe the target range of base compensation in Los Angeles, California for this role is USD $70,500 – $80,000 per year. Actual compensation is influenced by a wide array of factors including but not limited to skillset, level of experience, and location.
