Job Summary

National Polytechnic College (NPC) is seeking a part-time Admissions & Administrative Assistant for our Nevada campus. This entry-level position provides front office, administrative, and admissions support to students.

The ideal candidate is professional, people-oriented, detail-driven, and able to balance customer service, admissions recruitment, and administrative responsibilities in a fast-paced educational environment. This role serves as the first point of contact for prospective students, current students, staff, and visitors while supporting the admissions and enrollment process in compliance with all state, federal, and accreditation regulations.

Essential Duties and Responsibilities

Front Office & Administrative Support

  • Serve as the primary front office representative, greeting all guests, prospective students, enrolled students, staff, and instructors in a professional manner.
  • Answer, screen, transfer, and document all incoming phone calls accurately; record and forward messages to the appropriate department or individual.
  • Provide prospective students with initial enrollment application forms and general information.
  • Perform clerical duties including copying, scanning, and document preparation.
  • Prepare and maintain student files for Registrar, Career Services, Student Services, Financial Aid, and instructors, ensuring all required admissions and regulatory documentation is complete.
  • Maintain accurate filing systems and student records in compliance with school, state, and federal requirements.
  • Track and record appointments, and daily call logs; submit logs to appropriate departments.
  • Report incidents of non-compliance with school policies by students, staff, or instructors to the Director of Operations or Director immediately.

Admissions & Recruitment Responsibilities

  • Promote and recruit prospective students for NPC’s diploma and degree programs, with a focus on medical imaging programs.
  • Contact prospective students via phone, email, and text to schedule interviews and campus visits.
  • Conduct admissions activities with integrity while adhering to the Admissions Code of Ethics and all regulatory guidelines.
  • Communicate program information accurately and avoid misrepresentation at all times.
  • Assist prospective students through the admissions process and schedule orientation sessions prior to program start dates.
  • Provide superior customer service to prospective, future, and current students in person and through all communication channels.
  • Enter all admissions and recruitment activity into the college database accurately and in a timely manner.
  • Maintain, organize, and submit admissions paperwork, inquiries, reports, and required documentation.
  • Forecast incoming student enrollment by program to assist with classroom and capacity planning.
  • Participate in outreach, referrals, and off-site recruitment events as assigned.
  • Provide feedback to campus leadership regarding recruitment successes, challenges, and opportunities for improvement.

Professional Development & Compliance

  • Attend required workshops, training sessions, and seminars related to admissions, compliance, and administrative duties.
  • Work collaboratively with campus departments to support student success and a team-oriented environment.
  • Perform other related duties as assigned.

Qualifications and Skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook, Office/365).
  • Strong organizational and time-management skills with high attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to analyze, interpret, and accurately enter data.
  • Customer-service driven with a professional demeanor in person, over the phone, and in writing.
  • Ability to work in a fast-paced, goal-oriented environment and adapt to changing priorities.
  • Strong interpersonal skills and ability to build effective working relationships with students, staff, faculty, and the public.
  • Ability to work independently while also contributing as a team player.
  • Reliable transportation for off-site recruitment or partner visits, if required.

Education and Experience

  • High School Diploma or equivalent required (College degree preferred).
  • Previous administrative, receptionist, customer service, or admissions experience preferred.
  • Sales or recruitment background is a plus.
  • Bilingual English/Spanish is a plus.

Additional Information

  • Position is based at one campus location.
  • Compensation is $17.00 - $20.00/ hr based on experience.
