We are seeking a proactive and highly organised Senior Executive, Research & Partnerships to support the School’s growing research office. This role provides essential administrative, operational, and engagement support to the Head, Research & Partnerships and Associate Chair (Research), contributing directly to MSE’s mission to strengthen research excellence and global partnerships. You will work closely with faculty, research staff, visiting scholars, and institutional stakeholders, ensuring the smooth delivery of research office functions and research‑related initiatives.

Key Responsibilities:
Executive & Administrative Support
Provide professional PA and operational support to the Associate Chair (Research).
Manage calendars, schedules, and documentation to ensure seamless coordination.
Visiting Scholars Administration
Manage overseas visiting scholars’ administration, including processing relevant work pass applications (e.g. Training Employment Pass).
Arrange reimbursements for accommodation, airfare, and allowance.
Process honorarium for NRP (Non-Resident Professionals) and other recipients.
Research Grants & Manpower Administration
Assist the Head with research grant administration, including research staff appointments, renewals, promotions, and appraisals (UMO role).
Handle grant matters such grant variation related to manpower hiring and renewal.
Ensure accurate and timely processing aligned with university policies and research governance standards.
Research Events & Engagement
Support the administration and coordination of research events such as symposiums, colloquia, conferences, and workshops.
Prepare materials, compile information, and coordinate event communications to deliver impactful and well‑run engagements.
Contribute to continuous improvement of research administration processes.
Perform any other duties as assigned to support the team’s and school’s objectives.
Graduate Program by Research Support
Assist the Associate Chair (Research) in scheduling the online interview session with the potential candidates.
Qualifications:
Degree or Diploma from a recognised university/polytechnic, with at least 1 year of relevant experience, preferably in a university or research environment.
Proficient in Microsoft Office applications.
Strong organisational skills with high attention to detail and accuracy.
Ability to work independently, manage deadlines, and perform reliably under pressure.
Excellent interpersonal and communication skills, with a service‑oriented mindset.
Team player with initiative, adaptability, and a positive attitude.
