At Stone Island we are always looking for people who share our spirit and values to drive our company forward. We are currently looking for a General Services & Show Room Support Coordinator.


The Day-To-Day

 

General Services Activities & Reception:

 

  • Facility and office/infrastructure management: opening support tickets in case of malfunctions or service disruptions;
  • Coordination of scheduled maintenance activities with external vendors and suppliers;
  • Management of technical logs and regulatory compliance deadlines (e.g., Risk Assessment Document);
  • Overseeing and ensuring a constant presence on site;
  • Management of employee and visitor badges (activation, deactivation, replacement);
  • Liaising with the IT department regarding issues with automatic door and access systems;
  • Managing the approval process for vendor invoices;
  • Reception & Office Management activities: welcoming guests, clients and visitors; registering visitors and managing temporary badges; handling the switchboard and directing incoming calls; receiving packages, coordinating couriers, and sorting mail; booking meeting rooms and providing support for internal events and meetings (VC calls);
  • Internal Logistics: coordinating deliveries and managing the stationery/materials warehouse;
  • Setting up workstations for new hires (welcome kits and arrangements, access credentials);
  • Managing stock, periodic orders, and storage cabinets;
  • Liaising with the IT department regarding IT devices for new employees;
  • Non-Core Services: coordinating regular and extraordinary cleaning services; monitoring hygiene and replenishment of restrooms; managing internal requests for minor repairs or relocations; overseeing vending services, coffee stations, and water dispensers;
  • Equipment & Assets: Monitoring the functioning of printers and toner supplies; managing technical assistance requests for multifunction devices; checking the condition of furniture, seating, and monitors;
  • Fleet Management: managing the booking of company vehicles and monitoring deadlines (insurance, road tax, servicing);
  • Security & Compliance: monitoring badge access and security gates; checking first-aid kits and emergency equipment; supporting evacuation drills;

Show Room activities (during Sales Campaigns):

 

  • Management of temporary staff: participate in the recruiting and coordinate seasonal showroom sellers and staff during sales campaigns; organize initial briefings and staff training on the products, collection and sales procedures (with the support from collection merchandising and wholesale teams);
  • Uniform & Company Devices management: coordinate the process of assigning and distribute the uniform and recovering the items at the end of the sales campaign; managing restock for subsequent seasons; oversee the management of company devices during sales campaigns (laptops, tablets, phones, badges, SIM Cards);
  • Oversee Catering Activities and welcome desk: manage the external provider and the budget;
  • Cleaning and Security Services: coordinate with cleaning companies to ensure showroom is always maintained in perfect condition; daily monitoring of the space, including during high-traffic days or intense sales campaigns;
  • Preparing exhibition spaces for events or internal/client meetings;
  • Monitoring showroom budget and materials;

Qualifications

 

  • Previous experience gained in general services roles or showroom coordination activities;
  • Practical, dynamic, and hands-on approach, with a strong orientation toward operational tasks;
  • Excellent ability to manage and coordinate both internal and external stakeholders;
  • Strong organizational skills;
  • Good proficiency in the Microsoft Office Suite;
