Position Status: Full Time (40 hrs per week), Temporary (May-August) 

 

The Otipemisiwak Métis Government is recruiting for a full-time, temporary Summer Facilities and Building Operations Project Assistant. This is a summer term position with an end date of August 28, 2026. This position will support the Facilities and Building Operations (FBO) Department by assisting with daily operations, coordination, and departmental projects. Reporting to the Facilities and Building Operations Project Manager, the Project Assistant will be responsible for organizing and coordinating project activities, assisting with scheduling, and ensuring service requests are tracked and completed in a timely and effective manner. This position maintains accurate records, prepares reports and correspondence, and provides general operational and administrative support to keep projects organized and on schedule. The successful candidate will demonstrate strong attention to detail, excellent organizational and communication skills, and the ability to manage multiple priorities while supporting departmental goals in a professional and culturally appropriate manner.

 

Key Responsibilities

  • Support with day-to-day project administration duties.
  • Maintain project schedules, calendars, and task lists.
  • Track project milestones, deadlines, and deliverables.
  • Coordinate project activities, ensuring tasks, resources, and timelines are aligned.
  • Prepare project documents, reports, meeting minutes, and correspondence.
  • Coordinate project meetings, including booking meeting rooms/venues and agenda preparation.
  • Assist with gathering data, updating logs, and maintaining project records.
  • Communicate updates to team members and follow up on outstanding tasks.
  • Assist with procurement activities such as obtaining quotes and preparing requisitions.
  • Monitor inventory of project-related supplies and equipment.
  • Support onsite activities such as setup, logistics, and basic coordination.
  • Enter and track invoices, expenses, and project-related financial information.
  • Maintain organized digital and physical filing systems.
  • Provide general administrative support to ensure smooth project operations.
  • Other duties as required or assigned.

  • Excellent analytical and critical thinking skills with the ability to identify issues and implement creative and strategic solutions to overcome problems.
  • Exceptional organization and time management skills, with the ability to multitask and effectively manage and prioritize requests and deadlines.
  • Self-motivated and demonstrated initiative in identifying and addressing operational deficiencies, process gaps, or other possible improvements to operations.
  • Strong attention to detail, with the pursuit of quality in the accomplishment of tasks through focus on all areas.
  • Ability to work in an open work environment with a very collaborative team.
  • Excellent interpersonal skills and a proven track record of building collaborative partnerships with a variety of internal and external stakeholders.
  • Ability to be resourceful and respond to difficult situations or workplace requirements by using the available tools and information to support decisions and solutions.
  • Ability to provide exceptional service to both internal and external stakeholders with professionalism, efficiency, and a positive attitude.
  • Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government and Métis culture, people, and values is an asset.

 

Qualifications

  • Education in Administration, Project Management, or a related field is preferred. Other relevant training and experience will be considered.
  • Minimum 1 year experience providing administrative or project support in a professional office setting.
  • Intermediate computer skills, including Microsoft Office (Word, Excel, Outlook).
  • Experience with project management tools such as MS Project or Asana is considered an asset.

 

Other Requirements

  • Ability to work in the office in Edmonton, Alberta.
  • Reliable transportation and a valid Class 5 driver’s license.
  • Ability to work a regular schedule of Monday-Friday 8:30am-4:30pm
  • Ability to work evenings and weekends, with notice.
  • Ability to travel throughout Alberta, with notice.

About MNA

In 1928, Alberta Métis began organizing to advance Métis self-determination and self-government in the province, leading to the creation of the Métis Nation of Alberta. In November 2022, Métis Citizens overwhelmingly ratified a constitution to establish the Otipemisiwak Métis Government. In September 2023, the first election under the Otipemisiwak Métis Government Constitution was held. The Otipemisiwak Métis Government is now the government of the Métis Nation within Alberta and is recognized as such by the Government of Canada through a self-government agreement signed between the parties in 2023. Currently, there are over 70,000 Métis Albertans registered as Citizens of the Otipemisiwak Métis Government. As per the National Definition of Métis, ‘Métis means a person who self-identifies as a Métis, is distinct from other aboriginal peoples, is of historic Métis Nation ancestry, and is accepted by the Métis Nation.’ Historic Métis Nation ‘means the Aboriginal people then known as Métis or half-breeds who resided in the Historic Métis Nation Homeland.’ Métis Nation ‘means the Aboriginal people descended from the Historic Métis Nation, which now comprised of all Métis Nation peoples and is one of the “aboriginal peoples of Canada” as defined in s.35 of the Constitution Act 1982.’
