ITAM Practices & Documentation

  • Maintain accurate asset records and related platforms with real-time updates to asset status, location, configuration, and ownership
  • Apply asset tags, record serial numbers, MAC addresses, and device-specific identifiers during receiving and staging processes
  • Document configuration settings, firmware versions, and deployment specifications for audit and troubleshooting purposes
  • Participate in asset lifecycle workflows including procurement receiving, deployment tracking, RMA coordination, and retirement/disposal activities
  • Support compliance documentation requirements including data sanitization certificates, disposal records, and audit evidence
  • Flag data quality issues, missing information, or discrepancies to IT Asset Management Specialist and Sr. Manager

Warehouse & Inventory Management

  • Maintain organized warehouse storage areas with clear labeling, location tracking, and organization standards
  • Receive and inspect inbound shipments from vendors, verify contents against purchase orders, and resolve discrepancies
  • Conduct regular cycle counts and physical audits to ensure inventory accuracy across all asset classes
  • Manage spare parts inventory and coordinate allocation for break/fix and deployment activities
  • Coordinate vendor RMAs, track return shipments, and ensure warranty replacements are received and processed
  • Maintain chain-of-custody documentation for high-value and sensitive equipment

Fulfillment & Shipment Coordination

  • Schedule and prepare outgoing shipments to remote employees, field locations, and stores based on deployment timelines and project schedules
  • Package equipment securely with appropriate protection, verify shipping labels and documentation for accuracy, and coordinate pickups
  • Track shipment progress, proactively communicate delays, and resolve delivery issues with carriers
  • Coordinate with third-party vendors to ensure orders are fulfilled, configured correctly, and delivered on schedule
  • Assemble user-specific equipment kits and support onboarding/offboarding provisioning activities
  • Maintain records of shipped items including tracking numbers, delivery confirmations, and recipient sign-offs

Cross-Functional Collaboration & Process Improvement

  • Collaborate with IT Support, Field Technicians, System Admins, and ITAM teams to align staging priorities, resolve equipment issues, and meet deployment deadlines
  • Communicate equipment status, availability, and potential delays to stakeholders and project owners
  • Identify opportunities for process improvement in staging workflows, configuration automation, inventory accuracy, or shipping efficiency
  • Participate in team meetings and contribute to documentation of standard operating procedures
  • Support ad-hoc projects including hardware refresh initiatives, emergency deployments, and equipment audits

How You Will Shine:

  • High school diploma or equivalent; associate degree preferred
  • 2–3 years in IT preferred, shipping, logistics, or warehouse coordination
  • Hands on technical ability to configure PCs, networking equipment, and servers prior to shipment
