Job Summary

Position will possess the appropriate knowledge of hospital programs to manage administrative functions of the department. This position will serve as a point of contact between the physicians, the hospital, and the management team as it relates to team scheduling, meetings, paperwork, revenue cycle oversight, and local program compliance records.

Minimum Qualifications

Education:  Bachelor's degree in Business, Healthcare Administration or related field, preferred

Licenses/Certifications: (None)

Experience / Knowledge / Skills:

  • Two (2) years experience of relevant administrative experience preferably in healthcare.

  • Prior revenue cycle experience preferred.

  • Proficient computer skills (Microsoft Office).

  • Must have ability to perform complex and diverse administrative duties that involve application of procedures, independent analysis, interpretation of data and demonstrated appropriate judgment.

  • Knowledge of healthcare services and/or operations.

  • Effective oral and written communication skills and interpersonal skills in order to interact effectively with current and prospective physicians and staff and all levels of management.

  • Ability to interact with all members of the healthcare team and administrative staff in a professional and courteous manner.

  • Ability to build relationships and gain alignment for clinical support from superiors and peers.

  • Ability to manage multi-task, prioritize work, pay close attention to details and meet deadlines.

  • Ability to work independently with little or no supervision and demonstrate excellent problem solving and critical thinking skills when making decisions.

Principal Accountabilities

  • Coordinates with credentialing and data management regarding physician information.

  • Ensures on-boarding logistics are in place for new providers.

  • Forwards billing queries, deficient record notices, death certificates requiring signature, and other medical records information to the appropriate physician to facilitate completion.

  • Monitors and reports on physician satisfaction through personal visitations, telemarketing and other client contacts.

  • Completes quality review and monitors for process improvement opportunities.

  • Communicates in an effective and professional manner with all customers, including physicians, care management, ancillary departments, and nursing units.

  • Develops and produces reports, letters, memorandum, minutes and other departmental correspondence.

  • Monitors, reviews and resolves patient account issues on assigned reports.

  • Answers departmental telephones as necessary.

  • Files documents received by fax/email per departmental procedures.

  • Responsible for inventory and ordering of office supplies.

  • In conjunction with the leadership team, maintains staff schedules to ensure optimal coverage and accurate staff reporting.

  • Participates in ongoing process improvement efforts and has knowledge related to change management.

  • Possible coverage of additional campuses.

  • Ensures safe care to patients, staff and visitors; adheres to all Memorial Hermann policies, procedures, and standards within budgetary specifications including time management, supply management, productivity and quality of service.

  • Promotes individual professional growth and development by meeting requirements for mandatory/continuing education and skills competency; supports department-based goals which contribute to the success of the organization; serves as preceptor, mentor and resource to less experienced staff.

  • Demonstrates commitment to caring for every member of our community by creating compassionate and personalized experiences. Models Memorial Hermann’s service standards by providing safe, caring, personalized and efficient experiences to patients and colleagues.

  • Other duties as assigned.
