This position is an initial 12 month FTC / Secondment Opportunity.
Role Overview:
Due to maternity leave, we are recruiting for a supervisor to join our Batch 5 Team based out of Wroclaw. You will be assisting the manager with ensuring the team are hitting targets and operate as a main point of contact for team members and colleagues for any matters specific to invoices and any other assigned task (within UK and Poland).
Duties & Responsibilities:
- Actively contribute to the implementation of new processes, including changes within the team and existing workflows, reporting any arising issues, voicing ideas or concerns, and proposing improvements.
- Organise and ensure accurate and timely submission of invoices by the team in line with set daily deadlines, providing feedback where necessary.
- Report on team activity and operational issues during a weekly conference call with the UK office.
- Liaise with the Team Manager to agree on operational agendas and team issues for regular team meetings.
- Assist the Team Manager in setting appropriate quarterly targets for eligible team members.
- Support the Team Manager with day‑to‑day planning and oversight of the team, ensuring tasks are completed efficiently and on time.
- Ensure daily targets are met for assigned work and promptly communicate any issues that may impact performance (for both the Polish and UK offices).
- Support the Team Manager in carrying out daily quality checks to ensure all processing meets the highest standards.
- Conduct regular checks of the team’s PQ, unresolved, and outstanding accounts to avoid delays in invoice submission or claims.
- Respond to client calls and email queries to resolve issues.Ensure all email queries are resolved in a timely manner.
- Assist in conducting annual employee reviews to communicate expectations, recognise achievements, and plan future development.
- Identify and resolve any issues related to team member performance.
- Assist the Manager with recruitment by reviewing CVs and participating in interviews.
- Onboard new team members by assigning mentors, creating an induction programme, and ensuring they receive the necessary training.
- Communicate regularly with management, providing statistics and highlighting any issues.
Requirements and Skills:
- English @ C1 level
- Able to motivate and lead a team
- Able to ensure excellent quality & productivity across the team
- Forms good relationships with people across all locations
- Able to manage people remotely
- Able to understand complex systems, understand changes to the system & communicate these to the team
- Analytically minded and comfortable with reporting on data
- Appropriate Excel/Google Sheets skills
- Comfortable with phoning clients, patients, hospitals etc to resolve issues
- Excellent communication skills
- Problem solver with the ability to think on their feet
- Willingness to learn and deliver training
- Able to identify improvements to efficiency within the team
- Delegates work in a fair and equitable manner across the team
- Ability to work under time pressure and prioritise relevant tasks as they arise.
