We are seeking an Executive Administrative Assistant to provide high-level support to the COO and Director of Finance within our firm. This is not a typical desk job—our ideal candidate thrives in a fast-paced environment, demonstrates exceptional emotional intelligence, and can adapt to shifting priorities with professionalism and grace. This shared role is designed to protect leadership time, improve efficiency, and ensure critical tasks stay on track. Responsibilities
  • Manage and triage emails, flagging time-sensitive items and prioritizing follow-ups
  • Calendar management and scheduling, including meeting coordination and deadline tracking
  • Prepare and organize meeting agendas
  • Coordinate travel arrangements and logistics
  • Expense management and receipt tracking
  • Draft and prepare client/vendor communications
  • Manage inbound and outbound mail
  • Support DEI and other committee agendas and scheduling
  • Assist with newsletters and ensure consistency in communications
  • Maintain shared task lists and data tracking in Excel
  • Act as a gatekeeper and help keep meetings on schedule


Experience
  • At least 5 years of proven experience as an executive assistant or similar role supporting senior leadership
  • Exceptional organizational skills and attention to detail
  • High emotional intelligence and ability to handle sensitive information with discretion
  • Comfortable working in a fast-paced, dynamic environment
  • Strong communication skills (written and verbal)
  • Proficient in Excel (comfortable with V-look ups, Pivot Tables, etc.)
  • Proficient in Microsoft Office Suite and other productivity tools
  • Ability to anticipate needs before they arise
