Full time role. This role is eligible for US-REMOTE work, but must be willing to work flexible hours from PST to EST.
We seek a highly organized and detail-oriented event planner with strong communication skills to support Executive Event Leads and occasionally manage creating elevated executive engagement experiences for our global executive audience. This role involves collaborating with senior internal stakeholders, cross functional teams and the Global Executive Engagement team to ensure best-in-class engagement through all stages of event delivery, including production and attendee engagement.
You will work with Marketing partners and other cross functional teams to ensure events are well produced, inspire our target audience and reflect the magic of our brand appropriately.
Responsibilities:
Event Coordination and Production:
Support and occasionally manage executive events (both owned and third-party) to guarantee the seamless operation of all executive-level activities.
Assist with end-to-end project support, including budgetary tracking and payments, event data management, vendor communication, internal and external correspondence, logistical support, and related functions.
Provide support to Event Leads for designated event components such as activities, transportation, and catering.
Aid in the administration of budget management (PO creation, invoicing and more), contracts and document organization.
Support on-site supervision and execution of events.
Event Executive Coordination
Welcome and register arriving executives, distributing all required event materials, and provide continuous guidance and support to them throughout the event.
Support Engagement Managers to ensure all executive readiness tasks, pre-event briefings, and necessary arrangements are fully completed and confirmed.
Requirements:
3 - 5 years of experience in events, marketing, and/or hospitality.
Excellent verbal and written communicator with the ability to support stakeholders at all levels.
A highly organized, proactive and self-motivated individual, able to support the timely and first-rate execution of executive engagement globally.
Experience supporting complex and ambiguous programs under pressure, with tight timelines and competing priorities.
Strong executive presence, must be comfortable dealing with top level executives (both internal and external)
Enthusiasm for event planning and audience strategy, willingness to jump into anything that’s asked
Exceptional proficiency in Google Suite, demonstrating mastery of Docs, Calendar, Slides, Sheets, etc. as well proficiency in AI tools
Ability to work long hours including nights, weekends and holidays as required
Must be available to work all events
Willingness to travel both domestically and internationally as required.
