About the Position

Come be a part of a dynamic, fast-paced legal team as a Legal Secretary at the Office of the Legal Advocate. Are you motivated, have excellent communication, and organizational skills, with a can-do attitude? If so, you are just the candidate we are looking for!

As a Legal Secretary, you will play a vital role on the defense team by handling case files, preparing legal records and filing pleadings, petitions, briefs, correspondence, motions, and other legal documents. You will work side by side with attorneys and their team to ensure our clients receive the best possible representation.

We Require

  • Two years of experience in a legal setting with knowledge in legal preparations and legal proceedings

  • High school diploma or GED

  • Post-secondary education may substitute for the required experience on a year-for-year basis

We Also Value

  • Criminal law or indigent defense office experience

  • Experience as a Legal Secretary working in a public or private law firm

  • Certificate of completion from an accredited secretarial school or certificate of completion from a legal secretary training program

Job Contributions

  • Type and prepare legal documents, briefs, petitions, and memoranda for filing from written copy, oral and/or mechanical dictation in a fast-paced environment

  • Transcribe witness interviews verbatim from cassette tape, CD and/or digital recordings

  • Answer multi-line telephone for various staff members, screen calls, transfer, and take messages as needed

  • Perform as receptionist for unit or floor; direct visitors, sort, and distribute mail/fax transmissions, and memos

  • Coordinate case files and calendars; file documents in complex files; prepare court calendars for attorneys, schedule meetings, interviews, and legal calls

  • Photocopy documents, correspondence, notebooks, books, motions, briefs, files, and other confidential materials

  • Support attorneys who represent persons who have been charged with and/or been convicted of crimes, some of which may include traumatic subject matter, and performs this work under critical deadlines

  • Access information electronically from the court and update internal case tracking systems; use internal case tracking systems and intra/internet to answer questions for attorneys, staff, and clients

  • Hand-deliver and/or pick up documents/items on- and off-site

  • Box files for long-term storage, occasionally retrieve closed files from and return files to long-term storage area

Working Conditions

  • The job requires the ability to work with traumatic subject matter (crime scenes, accidents, etc.)

  • You will work in an environment with frequent interruptions, time pressures, high volumes of work, handling multiple or complicated tasks, unscheduled tasks, frequently changing tasks, accuracy, decision making, concentration/vigilance, teamwork, working in close physical proximity with others, and public contact

  • You may be required to lift 15-25 pounds from floor to waist; 15 pounds waist to shoulder or shoulder to overhead; carry 25 pounds 100 feet or push/pull 100 pounds 1000 feet
