The Role

As an Administrative Assistant at Manning Elliott, you will play a key role in supporting the operational efficiency of our Partners and contributing to the overall smooth functioning of the firm. This role requires a proactive, detail‑oriented professional who can anticipate needs, manage competing priorities, and deliver high‑quality administrative support in a dynamic professional services environment.

You will report to the Administration Manager while working closely with Partners and team members across various service lines. Your ability to stay organized, communicate effectively, and uphold a high standard of professionalism will be essential to your success.


What You’ll Do

  • Calendar & Meeting Coordination: 
  • Manage complex calendars for Partners, including scheduling meetings, coordinating availability, and anticipating scheduling conflicts.
  • Prepare daily or weekly briefings to ensure Partners are fully informed and prepared for upcoming commitments.
  • Billing & Engagement Support: 
  • Assist Partners and Managers with time entry, billing cycles, invoice preparation, and reviewing draft bills prior to sending to clients.
  • Ensure accuracy in billing documentation and support follow‑up actions as required.
  • Client Package & Document Preparation: 
  • Prepare professional client year‑end and financial reporting packages.
  • Support the electronic filing of tax returns and assist in organizing related documentation.
  • Format, proofread, and finalize documents, ensuring accuracy and consistency with firm standards.
  • Written Communications: Support partners with the preparation of written correspondence, engagement letters, and client communications as needed.
  • Workflow & Task Management: 
  • Update and maintain workflow software to reflect task status, deadlines, and progress.
  • Assist with tracking key milestones to ensure internal and external deadlines are met.
  • Administrative and Operational Support: 
  • Provide general administrative support, including organizing electronic files, coordinating internal requests, and maintaining records.
  • Support ad‑hoc tasks and special projects as needed, demonstrating flexibility and initiative.
  • Provide Reception coverage and broader team support when required.


What You Bring

  • Experience: 2+ years Administrative Assistant experience, preferably in a professional services setting.
  • Skills: Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)., strong analytical and problem-solving abilities, and excellent communication skills.
  • Attention to Detail: Exceptional proofreading skills and strong attention to detail.
  • Organization: Proven ability to manage multiple assignments effectively and complete tasks with a high level of accuracy in a deadline-oriented environment.
  • Prioritization: Demonstrates strong organizational skills and ability to prioritize workload.
  • Team Player: Ability to work effectively in a collaborative environment. Understands and supports job sharing activities.
  • Growth Mindset: Openness to learning and adapting in a fast-paced environment.
  • Additional Assets: Experience with workflow software, time and billing systems, and CaseWare considered an asset.
