HOW YOU WILL MAKE AN IMPACT:

Maintaining a high degree of confidentiality in support of the Corporate Office, the Shared Services Administrative Assistant provides administrative and project support to shared services teams in Human Resources, Information Technology, Finance, and Advancement across LCSNW and its division, Compass Housing Alliance. This role serves as a central point of coordination and communication, acting as a conduit to administrative professionals throughout the organization. The position also provides excellent customer service to community members by professionally managing the organization’s main phone line.

  • Answers phone calls, provide information to callers or connect callers to appropriate people.  Forwards messages as needed. 
  • Models and encourages direct, professional communication among staff members and facilitate development of a positive staff support network. 
  • Opens and distributes mail for LCSNW Corporate Office. 
  • At the LCSNW Corporate Office, welcome and directs visitors and vendors. 
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed. 
  • Responds to and resolves administrative inquiries and questions. 
  • Coordinates and schedules travel, meetings, and appointments for directors, managers or supervisors. 
  • Prepare agendas and schedules for meetings. 
  • Records and distribution of minutes or other records for meetings. 
  • Maintains office supplies and coordinates maintenance of office equipment. 
  • Maintains kitchen supplies and upkeep. Assists or coordinates light custodial service as needed. 
  • Provides back-up to Sr. Executive Assistant as needed. 
  • Maintains filing systems as assigned. 
  • Reconciles monthly bank statements for the agency credit cards as directed. 
  • Distribute incoming and outgoing shared services mail and faxes

 

  • Maintain confidentiality of job-related information. 

HOW YOU WILL BE A GREAT FIT:

  • Excellent organizational skills and attention to detail. 
  • Excellent verbal and written communication skills.  
  • Excellent interpersonal and customer service skills. 
  • Proficient in Microsoft Suite or related software. 
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing. 
  • Ability to work independently. 
  • Bachelor’s degree in business administration or relevant education.  
  • Work experience in a field which meets the required functions and professional responsibilities of the position may substitute for education. 
  • Minimum 3-5 years’ administrative experience assisting executive or staff personnel.
