About this role

Job Purpose:

The primary purpose of the role is to respond in a timely manner to customer enquiries by providing offers which are both technically and commercially accurate.  Provide first class technical, costing and documentation support to the Sales team during and post offer stage.  Provide a comprehensive handover of new orders to the projects team to enable successful delivery.

Responsibility of H&S Coordinator is added to this role. This is to manage H&S activities in LME.

 

Key Accountabilities:

  • Timely submission of offer (Including complete review of enquiries, preparation of tender, tender bond requests, coordination within departments and request quotations & technical support from suppliers/sub-contractors). 
    Performance Indicators: Ensure on time submission of offers and tenders complying to company internal process. 
    KPI: Offer Timelines -Measured as part of Monthly Tendering Reports. 
  • To attend pre and post offer technical and commercial queries for customers in a timely manner.
    Performance Indicators: All year, as part of tender process.
    KPI: Technical Support Timelines - Measured as part of Monthly Tendering Reports.
  • Review of customer specifications update, new region specifications & providing technical support to Sales team for Prequalification activities.            All year, as part of sales process.
    Performance Indicators: Maintaining updated knowledge on past, current and upcoming specifications for utilities within the service region and keeping track of active BOMs for each customer.
    Performance Indicators: All year, as part of tender process.
  • Preparation of descriptive customer specification summary for new orders & coordinating with projects department for the updates.
    Performance Indicators: All year, as part of tender process.
  • Achieving LME H&S Objectives including 2 recorded fire drills per year & 4 recorded emergency drills per year. 
    Performance Indicators: Timely completion of monthly internal workplace inspections/6S Audits. Monthly Report to H&S

 

Job Context:

The position is responsible for responding in a timely manner to customer enquiries by providing technically and commercially accurate offers. Provide first class technical, costing and documentation support to the Sales team. Provide a comprehensive handover of new orders to the projects team to enable successful delivery.

  • Careful review of new inquiries or requests for tender by actively checking drawings, specifications, and product requirement as well as commercial terms and documentation requirements. 
  • Co-ordinate input from other departments such as engineering, production, finance & logistics to enable preparation and submission of timely, clear and accurate technical and commercial offers.
  • Organize requests for quotations from sub-contractors and analyze technical and commercial responses.
  • Support sales team with pre & post offer technical and commercial queries or clarifications from customers and respond in a timely manner.
  • Liaise with Sales & Finance departments for the provision of Tender Bonds where applicable.   
  • Take full responsibility for handling assigned customer inquiries.
  • Preparation of tender approval form after review of pricing and history of respective market with the Area or Regional Sales Manager. Obtain the necessary approvals.
  • Preparation of accurate tender submission documentation fully complying to the customer tender process
  • Submission of tenders in utility portals where applicable within the deadline.
  • Provide office-based support to Area and Regional Sales Managers when they are visiting customers.
  • Attending Exhibitions and Sales Promotions in the region on behalf of the Company as required.
  • Provide information to other departments for budget, forecast and management reports.
  • To undertake any other duties and responsibilities assigned in relation to the Job role. 

H&S Coordinator

  • Timely completion of monthly internal workplace inspections/6S Audits.
  • Identifying hazards and coordinating with departments for the HITs and corrective actions.
  • Completing Accident/Incident/Near Miss reports whenever incidents occur and 
  • follow-up for corrective actions with concerned departments
  • Conducting 2 recorded fire drills per year & 4 recorded emergency drills per year.
  • Weekly checking of FF First Aid box and ensuring stock availability and validity & 
  • Organizing Monthly H&S Committee meeting, planning, and coordinating required actions.

H&S Coordinator role is added to manage H&S Activities in LME.

 

Qualifications, Experience & Skills:

Minimum Qualifications: Bachelor Degree in Electrical Engineering (or similar discipline)

Minimum Experience: At least three years’ proven experience in a similar role in the electrical switchgear industry

Job-Specific Skills:

  • Experience in review and understanding of electrical network design including general arrangement drawings, single line diagrams and schematics.
  • Understanding of distribution network technical specifications including operation & protection philosophy.
  • A sound understanding of standard commercial terms and conditions including Incoterms, documentary credits, bonds and guarantees.
  • Experience or familiarity with major principles of project management and delivery.   
  • Knowledge in Microsoft Office tools.

  • Must be customer focused with proven ability to deal with a variety of people in a professional & courteous manner.
  • Must be an organized self-starter & project handler with a keen eye for detail.
  • Ability to handle multiple projects & project activities in parallel.
  • Ability to carry out job responsibilities within limited timeline where applicable. 
  • Good interpersonal, communication and presentation skills in English.  Knowledge of Arabic and/or French is added advantage
