Position Overview:

As an Intake Coordinator supporting WCB Nova Scotia’s Work-Connected Recovery (WCR) model and Pilot Projects, you will serve as the first point of contact for injured workers, WCB Case Workers and Employers, in supporting timely, work-focused rehabilitation services. You will play a critical role in facilitating early, coordinated, and workplace-connected interventions that help injured workers recover at or return to work safely and sustainably.

You will ensure that clients and stakeholders receive timely access to services that align with the WCR model’s goals: improving recovery outcomes, maintaining employment connection, and enhancing collaboration across care teams, employers, and WCB Case Workers.

This position demands strong administrative coordination skills, attention to detail, and the ability to communicate effectively and professionally in a dynamic and multi-stakeholder environment. Your work will directly support WCB’s evolving service model, including Pilot Projects focused on innovation and timely access to services and return to work.

Key Responsibilities:

  • Serve as the initial point of contact for WCB-related referrals, clients, employers, and care team members within the Work-Connected Recovery framework.
  • Coordinate Intake processes for WCB Pilot Projects and Work Connected Recovery Model, ensuring accuracy and adherence to timelines and service expectations.
  • Maintain accurate and timely client tracking and referral documentation using internal databases and systems (where applicable).
  • Schedule and confirm services and assessments in alignment with WCB recovery and return-to-work timelines, including employer availability and workplace accommodation planning.
  • Demonstrate the ability to communicate clearly and professionally with Lifemark Clinics, WCB Case Workers and Affiliate Clinics within the WCR network.
  • Liaise regularly with WCB Case Workers, Employers, and interdisciplinary team members to ensure proactive coordination of services and eliminate barriers to work participation.
  • Support data entry, report formatting, and documentation related to monthly referral summaries and quarterly outcomes as required under WCB reporting frameworks.
  • Ensure compliance with privacy, documentation, and clinical protocols within the WCB context.
  • Contribute to continuous improvement efforts and feedback loops related to Pilot Project learnings and the WCR program.

Qualifications & Skills:

  • Minimum 2 years of administrative or customer service experience, preferably in a healthcare, insurance, or case management environment.
  • Post-secondary education in health administration, office management, or related field is an asset.
  • Proven ability to manage multiple priorities and communicate with a variety of stakeholders (e.g. clients, employers, clinicians, case managers).
  • Strong working knowledge of Microsoft Office Suite (Excel, Word, Outlook) and experience with database or case management systems.
  • Demonstrated ability to work independently, efficiently, and with a high level of accuracy in a fast-paced setting.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong cultural competence and awareness of equity considerations in client engagement.
  • A genuine interest in supporting workplace-based recovery and innovation in return-to-work services.
