Administrative Assistant
Job Type: Permanent, Full-time (40 hours per week)
Location: Fort McMurray, AB

The Administrative Assistant is responsible for fostering a strong relationship between the clinic and its clients, as well as staff, funders and referral sources. This is achieved by efficiently providing administrative support and coordinating clinic activity with friendly, enthusiastic and professional service. The Administrative Assistant will be responsible for being the first point of contact when clients enter the clinic and provide support to them as needed.   

 

Responsibilities  

  • Answer telephone calls, respond to emails, greet clients and visitors upon arrival, and provide excellent customer service
  • Assist clients with completing paperwork as needed
  • Assisting clients in the resource centre
  • Completing screening and intake assessments to determine eligibility
  • Assist with the coordination and organization of hiring events and job fairs
  • Coordinate scheduling of client appointments and communicate the details clearly 
  • Complete data entry and billing 
  • Assist with file audits and reviews using internal and external reporting systems
  • Coordinate courier packages (in or outgoing), process incoming and outgoing email and mail 
  • Review incoming referrals, prepare service plans and schedule first appointments 
  • Complete monthly expense reports
  • Picking up and/or delivering donations within the RMWB
  • Provide administrative support to the Clinic Director and team 

Qualifications  

  • High School Diploma or equivalent 
  • Bilingual in French would be considered a strong asset
  • Previous experience working with health care and/or human services is an asset
  • Strong proficiency with Microsoft Office Suite
  • Advanced Microsoft Excel - certification is an asset
  • 40-50 WPM- Required
  • Excellent customer service skills and telephone etiquette
  • Drivers license and reliable vehicle is required
