Position Goal

The Laval plant is growing, and we are looking for talented and passionate people to fill the position of Site Assistant. Reporting to the plant manager, the incumbent must ensure that visitors and employees are welcomed while supporting production.

Key responsibilities

  • Provide personalized reception for visitors according to the event (clients, suppliers, meetings, etc.).
  • Ensure proper functioning of the Traction Guest system.
  • Manage building access through the badge management system.
  • Handle requests related to PPE (uniforms, safety boots, safety glasses).
  • Manage office supplies
  • Disseminate messages from departments using appropriate channels and assist in drafting communications when needed.
  • Assist colleagues with HR-related questions (digital applications, insurance, referrals, payroll issues, etc.) and create HR tickets  / ICT tickets when necessary.
  • Ensure the transfer of information between the corporate team and the plant (Engagement Champion, Organization Announcement etc).
  • Lead the Social Committee and coordinate plant-wide social events (e.g., holiday parties and seasonal activities).
  • Prepare PowerPoint presentations and Word documents as needed; provide translation support.
  • Create purchase orders for the plant through Coupa.
  • Create and set up new vendors for the plant in SAP.
  • Attend Leadership Team (LT) meetings and prepare meeting minutes/notes.
  • Coordinate and support the onboarding process for new hires.
  • Assist with ongoing plant projects.

Qualifications and skills

  • Education or training in Communications, Administration, Marketing, or similar
  • 3+ years experience in a similar position (reception, admin assistant) 
  • Fully bilingual (written, spoken)
  • Organized and structured
  • Have good management of priorities and sense of urgency
  • Great communication skills 
  • People focused person (must enjoy planning and organizing social activities, connecting with people) 
  • Autonomous
