About this role

POSITION SUMMARY: The Recovery Admin provides administrative and operational support to the Recovery Department by assisting with invoice processing, regulatory notices, and quality assurance of recovery-related documentation. This role plays a critical part in ensuring accuracy, 
compliance with state and federal regulations, and timely processing of recovery activities. 

DUTIES AND RESPONSIBILITIES: 

Invoice Processing

  • Review, verify, and process recovery-related invoices (repo agents, auctions, transport, storage, etc.)

  • Ensure invoices align with approved rates, assignments, and services rendered

  • Enter approvals, denials, and notations into internal systems

  • Escalate discrepancies or overcharges to management for review

  • Maintain organized records for audit and compliance purposes

Notice Preparation & Compliance

  • Prepare and issue state-required recovery notices, including but not limited to: Right to Cure, Notice of Intent to Sell, Notice of Sale.

  • Ensure notices are generated accurately and within required statutory timelines

  • Coordinate mailing, tracking, and documentation of notice delivery

Quality Assurance (QA)

  • Review account histories to verify that prior notices for current inventory were sent correctly and timely

  • Confirm compliance with applicable state and federal regulations

  • Identify gaps, errors, or missing documentation and escalate as needed

  • Assist with remediation efforts when compliance issues are identified

Administrative & Operational Support

  • Update and maintain recovery system notes and documentation

  • Respond to internal inquiries related to recovery documentation and invoices

  • Support audits, internal reviews, and regulatory examinations

  • Perform other duties as assigned to support department operations
