Summary

The Intake Specialist I is an entry-level role responsible for supporting the intake and access process for durable medical equipment (DME). This position serves as a key support partner to the Case Management and Sales teams by assisting with referral intake, medical records collection, and prior authorization preparation. The Intake Specialist I works closely with patients, providers, and internal teams to ensure accurate, timely, and organized intake documentation that supports payer requirements and patient access. This role is ideal for individuals with a foundational understanding of medical records and insurance processes who are detail-oriented, organized, and motivated to grow within healthcare market access or reimbursement.

What You’ll Do:

Intake &  Case Management Support

  • Receive and process DME referrals, prescriptions, and supporting documentation via fax, email, and electronic systems
  • Assist in preparing intake cases for review by the Case Management team, including prior authorization submissions
  • Collect, organize, and upload medical records in accordance with payer and internal documentation requirements
  • Perform initial review of documentation to ensure completeness and accuracy
  • Identify missing information and coordinate with provider offices to obtain required records

Medical Records  & Documentation

  • Support the collection and organization of medical records, including office notes, therapy notes, and orders
  • Accurately label, index, and upload documentation into intake systems or Salesforce
  • Maintain organized and audit-ready case files in compliance with HIPAA guidelines
  • Ensure documentation is handled securely and confidentially

Payer & Prior Authorization Support

  • Assist with gathering documentation required for prior authorization requests
  • Support Case Management with payer-specific documentation needs
  • Track intake and authorization status and follow up as directed
  • Escalate complex or unclear payer requirements to Intake Specialist II or Case Management leadership

Sales & Patient Support

  • Serve as a point of contact for Sales team inquiries regarding intake status and documentation needs
  • Communicate with patients to explain intake requirements and assist with document collection
  • Provide clear, professional, and compassionate communication to patients and caregivers
  • Support timely progression of cases to avoid delays in patient access

Operational &  Administrative Support

  • Accurately document all intake activity in Salesforce or designated systems
  • Manage high volumes of intake tasks while maintaining accuracy and timeliness
  • Follow established workflows, checklists, and documentation standards
  • Meet productivity, quality, and turnaround time expectations

What You’ll Bring 

  • High school diploma or equivalent required
  • 0–2 years of experience in healthcare intake, patient access, medical records, or
  • administrative support
  • Entry-level understanding of medical records and payer documentation requirements
  • Experience using fax, email, and CRM systems (Salesforce experience preferred)
  • Comfortable working in a fully remote environment

  • Strong organizational and time management skills
  • High level of accuracy and attention to detail
  • Ability to prioritize tasks in a fast-paced environment
  • Clear written and verbal communication skills
  • Basic understanding of insurance and healthcare documentation workflows
  • Proficiency with Microsoft Office or Google Workspace
  • Reliable follow-through and accountability
