Job Description

To support the logistics team leader in coordinating shipments , managing exports documentation, tracking stock movements and ensuring timely accurate communication with forwarders, warehouses and clients.

Job Description

  • Support the logistics team leader with shipment follow ups and status updates.
  • Send/forward shipping instructions and bookings to appointed forwarders.
  • Follow up with forwarders and shipping lines for bill of lading (BLs) and share drafts with clients for approval.
  • Monitor vessel schedules, confirm sailing, updated SOL and issue shipment advice.
  • Prepare, apply for and manage all export documentation ensuring timely updates on dox.
  • Maintain accurate and well organized records and files related to logistics and shipping activities.
  • Updating SOL i.e.
  • Samples – track PSS dispatch and approvals.
  • Traffic data – update shipment progress, add notes and issue shipment advice for all finalized shipments.
  • PUR – Book and upload final purchase invoices and shipping docs.
  • Follow up on dispatch and confirmation of final shipping docs.
  • Following up on warrants from DSS (sellers/brokers), instruct stock transfers and ensure timely movements to avoid additional storage charges.
  • Ensure all logistics tools and systems are kept accurate and up to date i.e. Cargoo & Edox

KPIs

  • 100% execution of shipments on time
  • Draft shipping docs should be received, reviewed, approved and shared with clients before vessel ETD.
  • Final shipping docs to be dispatched within 5 days from vessel departure date.
  • 100% stock movement from third party warehouses within 5 days after payment
  • Zero errors in stock movement, instructions and documentation.
  • Timely email responses within same working day.
  • Unresolved issues to be escalated within 48 hours.
  • Purchase invoices PURs to be booked in SOL within 48hours after shipment departure.

Qualifications

  • Bachelor’s degree in Logistics, supply chain Management or related field.
  • Minimum 5 years of experience in Logistics and warehouse management.
  • Excellent organizational and problem-solving skills.
  • Ability to work under pressure and meet deadlines.
  • Excellent communication skills.
  • High level of integrity and attention to details.
