Job Description

Summary of the role

The Green Coffee Administrator plays a vital role in ensuring the seamless execution of daily business functions across data management, communication and logistics within the Green Coffee team at Beyers. This role involves working closely with systems such as SAP and Microsoft Excel to manage contracts, inventory, invoicing, quality documentation, and internal traceability processes. A strong understanding of operational workflows, attention to detail, and collaboration across departments is essential.

Responsibilities of the role:

Daily Operation:

  • Maintain accurate silo position records.
  • Create and manage new contracts using SAP and Microsoft Excel.
  • File essential documents including CMRs, contracts, and coffee fixations.
  • Process releases and generate invoices in SAP and Excel.
  • Handle incoming invoices from warehouses.
  • Monitor and verify delivery statuses.
  • Being the point of contact of different stakeholders and partners
  • Bi-weekly position update (long/short)

Certified Coffees (Impact, Rainforest Alliance, Fairtrade...):

  • Upload and manage traceability information to their platforms.

Quality Assurance:

  • Verify that quality documentation aligns with system records.
  • Ensure certifications are up-to-date and shared with the appropriate teams.
  • Maintain and update decaffeinated coffee traceability data.

Coffee Blend and Formula Management:

  • Create and update Master Data in SAP for coffee blends.
  • Prepare monthly reports on coffee roasting/packing losses and update related records.
  • Ensure monthly Master Data updates are accurately reflected in Microsoft Excel.

Traceability:

  • Address and fulfil internal traceability requests to support transparency and compliance.

Qualifications

Qualifications and Skills:

    • University graduate (BA or equivalent) Focus/ Major in Foreign Trade, Commodity Trading, Logistics or Management is a plus
    • 1 to 3 years of working experience 
    • Experience in an international environment related to trade/ supply chain/ logistics is a plus
    • Knowledge/ practical experience in SAP 
    • Good knowledge of Excel, Word, Outlook
    • Knowledge of collaborative tools (MS Teams, SharePoint,...)
    • Excellent knowledge of English (written and verbal communication skills)
    • Knowledge of any other language is a plus (French)
