Job Description

The Role:

Executive Assistant to Sucafina Instant Managing Director 

Sucafina Instant is the instant coffee division of Sucafina Group. Our aim is to help brands and manufacturers find the right coffee solutions for their needs

Responsibilities of the role:

I- MD's Task: Weekly Trading discussions with heads of profit centers

  • Role: Prepare and manage report showing (summary of discussions / Position  +/-       Requirements / Action to be taken
  • This must be continuous historical database which must be followed and ensure that MD executes action steps and give feedback
  • Dashboard: Globa Position with net long short per profit center

II- MD's Task: Commercial and Financial Risk assessment

  1. Role: Prepare/manage dashboard of Commercial Risk of top 10 clients:
  • Business booked versus budget
  • Assessment of commercial risks (probability of losing client )
  1. Role: Prepare / manage Dashboard of  Financial Risk of top 10 clients
  • Receivables position with clients
  • Forward positions with clients
  • Credit health of clients
  1. Dashboards: (i) Finance Dashboard showing budget versus booked (ii)Treasury Receivables dashboard (iii) Periodic check CreditSafe

III - MD's Task: Idle Capacity +  Operational Efficiency Analysis for trading - Provides data for Preparers/Owners of report with current data

  • Main manufacturers: Traders / Commercial team gather data for MD to give to Camilo's Team / Assistant manages follow ups
  • Operational Efficiency: Sucafina Instant Blending and Packing Facilities (APAC + TBB + New Projects )
  • Role: Coordinate information and summarizes for MD
  • Dashboard: Idle Capacity Dashboard
  • Dashboard: Summary Dashboard capturing monthly performance versus budgeted performance (New to be developed with Finance)

IV- MD Task: Reviewing Global Tolling Sheet for strategic trading decisions

  • From Green coffee to Bulk  to Finished Products
  • Role: Analyze data and advise MD what to do
  • Dashboard: Tolling Dashboard versus actual sales of the week (Hung)
  • Finished Products Dashboard versus actual trades during the week (Camilo)
  • Weekly PnL Dashboard by Finance

V- MD Task: Profiling and Digital Transformation of Sucafina Instant

  • Follow up on discussions with Profiling Team Tastify + Profile Print)
  • Follow up on Instant Global IT projects  (The To Do List - Progress reports)

VI - Coordinating Communication

  • Internal and external communication

VII - Time Management and Priority Setting

  • Setting priorities for MD based on MDs roles

Qualifications

Qualifications and Skills:

    • University graduate (BA or equivalent) Focus/ Major in Business Management, IT, Foreign Trade, is a plus
    • 5-7 years of working experience 
    • Experience in an international environment related to trade/ supply chain/ logistics is a plus
    • Strong proficiency in Excel and Power BI.
    • Familiarity with ERP systems.
    • Strong analytical mindset, attention to detail, and ability to present insights clearly.
    • Willingness to travel internationally when needed.

    Languages:

    • Excellent knowledge of English (written and verbal communication skills)
    • Knowledge of any other language is a plus (French)
