JOB FUNCTION

To provide day-to-day administrative and operational support to the Trust Department and Trust Officers. 

 

DUTIES & RESPONSIBILITIES:

  • Prepare discretionary distributions, payment of client expenses (cash and/or asset distributions), customer cash and/or asset contributions, correspondence, and routine customer inquiries.
  • Engage directly with customers on a wide variety of requests associated with administration of accounts
  • Responsible for coordination of and compilation of monthly Trust Committee board packet.
  • Attend and take minutes for Trust related Committee meetings.
  • Review trust agreements in support of trust officer administering accounts.
  • Prepare account Pre-Acceptance, New Account Set-Up, Initial and Annual Review documents and Account Closing Report(s) for review by Trust Officer(s).
  • Prepare customer/account CIP, BSA and other related account forms. Gather information and documents from customer as necessary.
  • Prepare New Account Set Up form and review new accounts for compliance with
     required Policy and processes.
  • Compile and analyze various internal information and documentation utilizing Excel and
     other software.
  • Support other Trust Administrators in the administration of Trust Accounts.
  • Communication with various vendors on behalf of Trust Officer and/or client.
  • Reconciliation of various accounts and dual control reports.
  • Timely imaging of Legal, Correspondence, Investment, Mineral, Real Estate and other relevant Trust documents/information when necessary.
  • Handle overnight shipping and courier needs for Department staff as needed.
  • Confirm and verify outgoing wire transfers for Department.
  • Notarize documents.
  • Answer telephone(s) and manage conference room reservations as necessary.
  • Prepare expense reports for Trust Officers as requested.
  • Other projects and duties as needed.


MINIMUM QUALIFICATIONS:

Work Experience 

  • Three to Five years’ experience in administrative support role.

Preferred Experience (Optional)

  • Three to five years of direct trust administrative assistant experience.
  • Accounting experience preferred.

Supervisory Experience  

  • N/A

 Education/Skills/Experience

  • High School Diploma or equivalent.
  • Undergraduate degree or pursuing, preferred.

 Equipment/Machines/Software 

  • Personal computer with high proficiency using Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Must be able to use telephone, 10 key adding machine/calculator, copier, scanner and facsimile machine.

 Competency Requirements

  • Proven organizational skills with ability to shift priorities and follow assigned tasks through completion.
  • Excellent oral and written skills.
  • Ability to work independently with minimal supervision.
  • Must have high attention to detail with ability to focus on assigned tasks. 
  • Must be accustomed to multitasking and a fast-paced office environment.

 Physical Requirements

  • Must be able to lift, push and pull files up to 15 pounds for storage.
  • Must be able to bend, stoop, and be mobile within office environment.
  • Must be able to sit for most of the day in front of a computer.
  • Must be able to speak and hear customers.
  • Must be able to see computer screen to read and type on the keyboard.
  • Must be able to be mobile in an office environment.
  • Must be able to bend and stoop to floor level filing cabinet drawers.
  • Occasional travel may be required.
