Position Description

Title:                               Paralegal and Executive Assistant              

Department:                  Human Resources and Legal              

Immediate Supervisor: SVP HR and SVP General Counsel

Status:                           Exempt Salaried              

Position Purpose:   Responsible for preparing confidential information, reports and presentations for the Executive Leadership Team, Board of Directors and others within the organization as directed by the SVP Human Resources and SVP General Counsel. Discretion is required to prioritize and handle sensitive and confidential company information and documents related to Human Resources and Legal matters.

 

Principle Accountabilities

  • Directs and coordinates projects from conception to completion related to human resources and legal matters. Project scope is typically confidential and requires excellent time management and analytical skills.
  • Prepare and edit communications, correspondence, presentation materials and other documents for Human Resources and Legal Departments.
  • Drafts investigation reports related to ethics and compliance matters. Safeguards employee confidentiality and other company proprietary information.
  • Approves travel arrangements with travel agency and ensures expensed appropriately for applicants and others, as necessary.
  • Assist with recruiting activities to support Human Resources such as scheduling and issuing Thomas assessments for candidates and employees.
  • Responsible for keeping corporate minute books and organization of appropriate signatures thereto.
  • Responsible for Legal and Human Resources third party billing/invoices and the processing and coding thereof to ensure appropriate accounting is reflected.
  • Assistance with Contract Management recordkeeping.
  • Related tasks as requested by supervisor.

 

Essential Skills and Experience 

  • Undergraduate degree required in related field
  • 4-7years’ progressive experience in corporate Human Resources or Legal.
  • Proven ability to build strong relationships with employees at all levels of the organization.
  • Demonstrated ability to maintain confidentiality and discretion.
  • Strong interpersonal skills, tact, maturity, and flexibility.
  • Excellent oral and written communication skills.
  • Demonstrated ability to gather and monitor information to determine necessary action and communication exercising sound judgment and decision-making.
  • Collaborative and energetic with the ability to prioritize and multi-task.
  • Ability to work independently and in a high-paced environment with changing priorities.
  • Highly proficient in Microsoft Suite of Products, including, but not limited to, Excel, Word and PowerPoint
