The client is a fast growing software and web solutions company that helps staffing firms launch high performing websites with a branded job board experience. They support around 200 staffing customers across the US and UK, ranging from small niche firms to enterprise clients. The team is collaborative, friendly, and informal, with a strong focus on accountability, ownership, and long term relationships.
About the Role:
As an Implementation Specialist, you will own a portfolio of website implementations and guide clients through the website build process from kickoff to launch. You will keep projects organized, move timelines forward, and ensure clients deliver the required inputs on time. You will also help clients make informed decisions about website structure, layout, and copy, then package everything clearly so designers and technical teams can execute efficiently. This is a client facing role that combines implementation workflow, project coordination, and strong communication.
Key Responsibilities
Client ownership and implementation delivery
- Own a portfolio of active website implementations and act as the primary point of contact for day to day execution and client guidance
- Run the client through the implementation journey by asking the right questions, clarifying unclear requests, and translating ideas into clear next steps
- Keep clients moving forward by proactively requesting deliverables, setting expectations, and communicating how delays impact timelines
- Coach clients who have never built a website before by providing practical guidance on site structure, page purpose, copy expectations, and best practices
- Provide an objective point of view when clients request items that do not fit website standards, such as overly long copy, unclear messaging, or disorganized page content
Project planning and organization
- Maintain a clear project plan for each implementation, including milestones, due dates, dependencies, and risk tracking
- Update Gantt charts and internal trackers daily to reflect progress, blockers, and next actions
- Prioritize tasks across multiple projects and keep 10 to 20 parallel workflows organized without dropping details
- Create simple client friendly action lists that summarize what is needed, by when, and what happens next
Content and asset management
- Collect, review, and organize client content and assets, including page copy, branding files, images, logos, and any required forms
- Review submissions for completeness, clarity, and basic best practices, then request revisions when needed
- Ensure all deliverables are stored correctly and consistently in the correct folders and naming conventions so internal teams can work efficiently
- Prepare a complete implementation package for internal handoff, including requirements, key decisions, approved copy, and page by page guidance
Internal coordination and handoffs
- Coordinate daily with designers and technical team members to ensure requirements are understood and work is progressing
- Write clear handoff notes that reduce back and forth and help designers execute with minimal rework
- Align stakeholders on priorities and timing, escalating risks early when deadlines are at risk
- Support leadership by providing quick status updates across the portfolio and flagging accounts that need extra attention
Quality checks and launch readiness
- Perform structured reviews of drafts, checking layout logic, content placement, links, and mobile responsiveness from a client experience perspective
- Track and manage revision rounds, ensuring feedback is actionable and consolidated
- Coordinate user acceptance testing readiness, including validating settings, layouts, and any implementation configurations
- Confirm launch criteria are met, then support launch coordination and post launch follow ups
Client enablement and support
- Lead or support client meetings, document decisions, and send recap notes with clear owners and due dates
- Provide basic training and guidance on core website and platform workflows after launch when needed
- Ensure clients feel supported, informed, and confident throughout the implementation, while keeping scope and timelines controlled
Process and continuous improvement
- Follow the standard implementation workflow while identifying gaps or improvements that reduce delays and rework
- Share patterns and recurring blockers so the team can improve templates, checklists, and client guidance materials
- Maintain high accountability, proactively asking for help when stuck, and taking ownership of outcomes across assigned implementations
Qualifications & Skills
Must Have
- 2 plus years of experience in implementation, project coordination, or client facing delivery roles
- Proven experience managing multiple projects simultaneously in a structured environment
- Hands on exposure to website projects, digital marketing services, or web implementations
- Strong client facing communication skills, with the ability to guide, educate, and push back when needed
- Ability to translate non technical client ideas into clear, actionable requirements for internal teams
- High level of organization and follow through, with strong attention to detail
- Comfort working with Gantt charts, timelines, deadlines, and dependency tracking
- Advanced written and spoken English, suitable for daily interaction with US based clients
- Proactive mindset with high accountability, ownership, and comfort asking for help when blocked
Nice to Have
- Scrum Master, Agile, or structured implementation workflow experience
- Experience in marketing services, website agencies, or web operations
- Basic understanding of WordPress or other CMS platforms and common website components
- Experience reviewing or shaping website copy and content structure
- Light technical experience such as basic HTML edits, QA testing, integrations awareness, or API concepts
- Exposure to staffing, recruiting, job boards, or ATS and CRM environments
