We are looking for a proactive and highly organized Project & Operations Executive to support the Project Manager in managing day-to-day projects and operational activities. This role involves project coordination, financial tracking, procurement, and administrative support to ensure smooth and efficient execution of projects and office operations.
Project Management Support
- Assist Heads of Department with project budgeting, costing, analysis and other project-related functions.
- Support Project Manager to handle contracting paperwork and process.
- Execute project processes in line with company operational procedures, including project creation/closure, procurement, accounting, and contracting.
- Coordinate with internal departments such as Procurement, Finance, and Legal on project-related matters.
- Liaise with internal stakeholders on project administration and financial reporting matters.
- Track and monitor project expenditures, including billing and customer payment follow-ups.
- Manage procurement of resources, equipment, and software, ensuring timely vendor delivery.
- Maintain accurate documentation of project operations (e.g., purchases, contracts, and reports).
- Any other project management support work may be assigned from time to time.
Operations
- Support office operations, administrative tasks & welfare activities, as required.
- Oversee office facilities maintenance, security and workplace safety matters, including inspections, fire drills and coordinate with vendors and building management on facilities-related issues.
Requirements
- Min Diploma in any discipline. Diploma in IT would have advantage.
- 1–3 years of relevant experience in project coordination or operational support is preferred.
- Strong organizational and multitasking skills, with attention to detail.
- Proficiency in MS Office. Proficiency in SAP would have advantage.
- Excellent communication and interpersonal skills.
