We are looking for a Mail & Documentation Clerk to help grow our business and contribute to our future.  

The Mail & Documentation Clerk plays a critical role in supporting the integrity and accuracy of corporate registry records. In this position, you will receive, record, and retain submissions received by mail, fax, and email, ensuring they are processed in compliance with multiple pieces of legislation and associated regulations.

Working under applicable legislation, you will be responsible for accurately entering paper and electronic submissions, managing documentation, and responding to customer requests. Reporting to Operations Manager, Corporate Registry, other highlights include:

  • Receive and/or record payment information and perform cash balance and reconciliation of payments received.
  • Fulfillment of customer requests for copies of historical documents on registered entities from archival records. 
  • Creation of electronic images by scanning paper submissions received, either as part of a batch or on an ad hoc basis. 
  • Compose written or verbal responses to customer submissions or inquiries.

What You’ll Need:

  • Highschool diploma is required, plus post-secondary coursework in business or office administration, or a related field.
  • Minimum of 3 years of experience in an office and customer service environment.

  • Demonstrates strong attention to detail and accuracy when reviewing, recording, and entering submissions in compliance with legislative requirements.
  • Communicates clearly and professionally when responding to customer inquiries, both verbally and in writing.
  • Efficiently organizes, scans, retains, and retrieves physical and electronic records in accordance with established standards.
  • Accurately interprets and applies legislation, policies, and procedures in a regulated environment.
  • Can apply basic accounting principles to record payments, perform reconciliations, and support cash-handling activities.
  • Effectively manages multiple tasks and priorities while maintaining accuracy in a high-volume environment.
