JOB PURPOSE:
A highly organized, proactive, and results-driven C-Level Executive Assistant responsible for providing comprehensive administrative and strategic support to a C-suite executive. This role requires a high degree of professionalism, discretion, and the ability to anticipate needs to optimize the executive's efficiency and productivity.

Familiarity with the principles and practices of fundraising and engagement work in an educational setting. – Strong organizational and multitasking abilities, with proficiency in calendar management, scheduling, and Microsoft Office Suite. – Excellent written and verbal communication skills, including the ability to draft professional correspondence and effectively communicate with diverse stakeholders. – Skills in organizing, maintaining, and analyzing data with attention to detail and confidentiality. – Proficient in using Microsoft Office Suite, RaisersEdge, and other relevant tools for effective communication and data management. – Assist in event coordination in support of engagement and stewardship goals – Ability to handle sensitive and confidential information with discretion and professionalism. – Flexibility to adapt to changing priorities and work in a dynamic fast-paced environment. – Strong collaborative and interpersonal skills to work effectively with diverse teams and stakeholders. – Ability to identify and address challenges proactively, offering solutions when needed. – Capacity to engage positively with donors, alumni, and other stakeholders, fostering strong relationships on behalf of the Vice President/Chief Development Officer.
PRINCIPAL ACCOUNTABILITIES:
- 40%- Provide comprehensive administrative support, managing calendars, scheduling appointments, and coordinating meetings for the Vice President/Chief Development Officer for Development and Alumni Relations daily. Prepare and edit professional correspondence, reports, and presentations on behalf of the Vice President/ Chief Development Officer, ensuring accuracy and maintaining a high standard of professionalism.
- 10%- Facilitate effective communication by managing email correspondence, phone calls, and other forms of communication between the Vice President/ Chief Development Officer, key stakeholders, donors, and alumni. Act as a liaison between the Vice President/ Chief Development Officer and internal/external parties, ensuring the timely and accurate flow of information to support the objectives of the Development and Alumni Relations department.
- 10%- Assist in the planning, execution, and tracking of strategic initiatives related to development and alumni relations. Coordinate special projects, events, and campaigns, ensuring alignment with the department's overarching goals and objectives (i.e., All staff meetings, retreats, holiday parties, etc.).
- 20%- Manage and organize data related to donors, alumni, and development initiatives, ensuring accuracy, and maintaining confidentiality. Conduct basic data analysis to provide insights, supporting informed decision-making processes within the Development and Alumni Relations department.
- 20%- Cultivate positive relationships with donors, alumni, and other stakeholders on behalf of the Vice President/ Chief Development Officer. Assist in the coordination of events and activities aimed at fostering strong connections between the university and its supporters.
Responsibilities:
- Coordinate all aspects of business and international travel arrangements, including booking flights, accommodations, and ground transportation.
- Prepare high-level reports, presentations, and other documents, ensuring accuracy and professional polish.
- Act as a gatekeeper, managing incoming communications and prioritizing requests on behalf of the executive.
- Conduct research, collect information, and analyze data to support executive decision-making.
- Handle confidential information with the utmost discretion.
- Manage special projects and ad-hoc assignments as needed.
- Process expense reports and manage other administrative duties as required.
- Independently research, compile and analyze data for a variety of internal reports surrounding higher education fundraising and philanthropy
MINIMUM REQUIREMENTS:
- Bachelor's degree preferred.
- 5+ years of experience as an executive assistant, with a significant portion supporting C-level executives.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
- Exceptional written and verbal communication skills.
- Strong organizational, time management, and project management skills.
- Ability to work under pressure and manage multiple priorities simultaneously.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
- Professional demeanor with a strong service-oriented approach.
- Experience with travel and expense software (e.g., Concur) is a plus.

SALARY RANGE:$75,000 - $85,000
