About this role

The Events Operations Coordinator is responsible for supporting projects within the zoo’s program of public-oriented special events. Supports Events Project Manager with all aspects of planning, contracting, design, execution and deinstallation of Zoo Lights, temporary exhibitions, and other public events/promotional projects in accordance with best practices. Maintain a valid Texas driver’s license and comply with HZI policy on driving.

Job Duties and Responsibilities

  • Develops and maintains positive working relationships across all internal departments (including Animal Programs, Marketing, Graphics, IT, Conservation Education, and all Operations departments) and works closely with Zoo staff as clients.
  • Supports the planning, development, scope, schedule and budgets for Zoo Lights, Feast with the Beasts, temporary exhibitions, and other public special events as assigned while working closely with the Maintenance team to ensure full preparation and coordination of upcoming jobs.
  • Through events planning and management, fulfills aspects of the zoo’s Strategic and Master Plans through a well-articulated process engaging all departmental stakeholders.
  • As required, coordinates the work of multiple suppliers, vendors, labor crews and other personnel for the most effective project execution
  • Coordinates with Design & Engineering and Maintenance departments to achieve safe and code compliant work and keep files for construction records and standards.
  • Champions sustainability practices in construction and operations, including LEED and other nationally recognized standards for resource conservation.
  • Must maintain a valid Texas driver’s license and comply with HZI policy on driving.
  • Works independently with minimal supervision
  • Partners across teams and with all levels of staff
  • Contributes to saving animals in the wild through: reduction of waste, water and energy use and inspiring guests and staff to take wildlife protecting actions
  • Performs other duties as assigned.
  • Performs such other functions as determined by senior leadership.

 

Education and Experience

  • Minimum of two (2) years’ relevant work experience.
  • Strong interpersonal and facilitation skills.
  • Knowledge of all phases of events planning, scheduling, scoping, design, construction, move-in and operations; federal, state, and local safety practices; record keeping and report writing experience.
  • Knowledge of safety procedures and OSHA requirements.
  • Skilled in the areas of budgeting and financial administration.
