What We’re Looking for:
At Hood Container Corporation, we are searching for an Administrative Coordinator to provide strong administrative and front office support to our Plant Manufacturing operations.
As an Administrative Coordinator, you will have a key role within the business, supporting daily plant operations by ensuring smooth communication, accurate documentation, and a professional front office experience. You will serve as the first point of contact at the facility and provide administrative support to leadership and multiple departments to help maintain organization, efficiency, and a positive employee experience.
How You Will Contribute:
- Serve as the first point of contact at the main entrance by greeting and assisting visitors, employees, vendors, drivers, and contractors in a professional manner.
- Maintain a clean, organized, and professional front office environment, including printing and copier areas.
- Ensure visitor logs, receiving documents, and delivery paperwork are completed, signed, and routed correctly.
- Provide internal and external communication support by responding to inquiries, requests, and messages professionally and timely.
- Maintain organized filing systems and documentation control (physical and electronic) for plant administrative records.
- Create and manage administrative spreadsheets, tracking logs, and reporting tools as needed.
- Prepare supporting documentation for audits, internal records, and operational needs.
- Support plant documentation needs such as printing materials, labeling, laminating, scanning, and general document preparation.
- Coordinate meetings by scheduling, communicating with participants, and supporting conference room logistics (setup, supplies, agendas).
- Support leadership meetings and team meetings by assisting with tracking action items, follow-ups, and timelines when requested.
- Coordinate logistics for plant meetings and events, including ordering food/catering and supporting communication with attendees.
- Assist with employee engagement activities and plant events through planning, communication, and execution support.
- Support Continuous Improvement (CI) efforts and special projects through coordination, organization, documentation, and administrative follow-through.
- Provide administrative support across multiple departments as needed to ensure continuity of plant operations.
What it Takes:
- High school diploma or equivalent required; Associate degree or 2+ years of equivalent administrative experience.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong customer service and interpersonal skills with the ability to communicate professionally with employees, visitors, vendors, and leadership.
- Must be approachable, adaptable, and able to handle sensitive situations with tact, discretion, and confidentiality.
- Excellent written and verbal communication skills.
- High-level computer skills required, including strong proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and the ability to learn new systems quickly.
- Experience working with spreadsheets, reports, document control, data entry, file management, and email communication required.
- Comfortable using office equipment (printers, copiers, scanners) and supporting documentation needs.
- Bilingual English/Spanish preferred.
- Ability to stay composed under pressure, maintain attention to detail, and maintain a positive attitude while supporting changing priorities.
