Responsibilities

Job SummaryThe Program Administrator for the Center for Translational Science at the HonorHealth Research Institute supports its research programs by overseeing daily operations and administrative functions. This role requires sound judgment, discretion, and initiative in managing complex tasks. Key responsibilities include coordinating schedules and events, managing budgets and records, supporting leadership activities, and ensuring compliance with established policies and procedures.Essential Functions
  • Administrative Support: Provides executive-level support for the Director of Research Program Management and the Director of Longevity Prevention & Intercept Research. Responsibilities include scheduling meetings, managing calendars, coordinating travel, preparing expense reports, and supporting staff onboarding.
  • Communication: Serve as the primary point of contact for internal and external stakeholders, ensuring clear, consistent communication throughout the Center. This involves preparing Center communications, updating website content, and organizing and maintaining Center documents.
  • Reporting: Create reports and presentations for Center leadership that summarize key metrics, project outcomes, and overall progress of the Center.
  • Budget Management: Assist in developing and overseeing the Center’s budget, monitor expenses, and prepare financial reports to ensure budget compliance and support financial planning.
  • Data Management: Maintain accurate records and databases, ensuring information is current, accessible, and accurately reflects project statuses.
  • Policy Implementation: Develops and enforces effective administrative and operational policies that boost the success of the Center’s research programs. Assists in implementing and ensuring compliance with institutional policies and procedures.
  • Event Planning: Coordinates workshops, meetings, conferences, or other special events both on-site and off-site; manages logistics, scheduling, agendas, and participant communications.
  • Performs other duties as assigned.

Education
  • Bachelor’s degree OR 4 years of experience as an executive administrative assistant, program coordinator, or similar role in a non-profit research environment – in Relevant Field - Required
Experience
  • Excellent communication, problem-solving, and organizational skills, with meticulous attention to detail. - Preferred
  • Experience in onboarding new staff and overseeing administrative processes. - Preferred
  • Ability to handle multiple tasks, prioritize workload, and demonstrate initiative with minimal supervision. - Preferred
  • Capable of managing and executing special projects and supporting management initiatives. - Preferred
  • Strong interpersonal skills with the ability to engage with clinicians, faculty, staff, and diverse internal and external stakeholders. - Preferred
  • Proficiency in Microsoft Office Suite and Adobe Acrobat. - Preferred
  • Experience in a research environment. - Preferred
