As announced by the Government of the Hong Kong Special Administrative Region, HKUST will establish Hong Kong’s third medical school. We are now seeking highly qualified, dedicated and motivated individuals to join our dynamic and supportive team in various Senior Manager roles, including Student Recruitment & Admissions; Student Advising & Wellness; and School Administration (Finance, HR and Medical Campus Development).
Appointment will initially be made under the Office of the Dean of Science, transferring to the School of Medicine upon its establishment.
Key Responsibilities
Appointees will be entrusted with key responsibilities that include, but are not limited to:
- Establish and maintain policies and procedures related to the appointed portfolio of work, ensuring alignment with University policies, and compliance with local regulatory standards and requirements.
- Provide professional expertise, proactively manage and help oversee all administrative, logistical and operational activities related to the assigned portfolio of work.
- Collaborate with faculty, academic leadership, professional services colleagues, University counterparts, and external stakeholders, as appropriate, acting as a bridge to take forward the assigned portfolio of work in an integrated and coordinated manner, aligned with the School’s planning and goals.
- Maintain accurate documentation and record-keeping and databases to ensure efficient retrieval of information and compliance with institutional policies.
- Oversee the compilation, analysis, and reporting of relevant data and information to support the School’s operation, quality assurance, and continuous improvement.
- Support the senior leadership in the preparation of papers, reports, plans, presentations, and other materials, to further institutional goals, as required.
- Provide executive support to relevant School committees and meetings.
- Mentor and manage team members, to foster a collaborative and innovative work environment.
- Keep informed about the latest developments in the assigned portfolio of work, to remain up-to-date and effective.
- Perform additional duties as assigned by the supervisor.
Requirements
- Applicants should hold bachelor's degree, with a minimum of 8-10 years of relevant post-qualification work experience in a sizeable organization or tertiary institution within the education sector. A higher relevant degree and/or other professional qualification(s) is highly advantageous.
- In-depth knowledge and expertise in best practices and delivery of student recruitment & admissions; student advising & wellness; and school administration (Finance, HR and Medical Campus Development) services, according to the post.
- Exceptional planning and organizational skills, with a strong sense of priorities and responsibility, coupled with excellent judgement, problem-solving, and decision-making abilities. Self-initiative to manage competing tasks under tight schedules.
- Excellent communication and interpersonal skills, with the ability to influence and manage relationships with internal and external stakeholders, including cross-functional teams, across academic departments.
- Proficiency in written and spoken English and Chinese (Cantonese and Putonghua).
- Advanced computer skills, including proficiency in relevant software and other IT applications associated with relevant roles.
Work outside normal office hours, including weekends/public holidays or evenings may occasionally be required.
Starting salary will be commensurate with qualifications and experience. Fringe benefits including annual leave, medical and dental benefits will be provided where applicable. Appointments will initially be made on a 2-year contract with contract-end gratuity, renewable subject to good performance and mutual agreement.
